Requirements

  • High school diploma or GED required
  • Reports to work on time and as scheduled, completes work within designated time
  • Uses computerized time clock correctly
  • Attends staff meetings and actively participates, reads and returns all staff meeting minutes
  • Demonstrates knowledge of equipment capabilities, limitations and appropriate/special applications
  • Demonstrates the ability to access and use computer systems and computer programs
  • Ability to communicate effectively verbally and in writing
  • Two years experience in a healthcare office setting is required
  • Current Los Angeles Country Fire Card (required within 30 days of hire)
  • Assault Response Competency (ARC) (required within 30 days of hire)

Responsibilities

  • Performs department receptionist and secretary duties.
  • Maintains department records.
  • Completes short term projects as directed by the Director of Facilities.
  • Oversees daily general operations of the department.
  • Coordinates efforts for joint commission.
  • Serves as a liaison between assigned accreditation bodies.
  • Coordinates all survey and post survey activities.
  • Maintains complete and accurate records.
  • Coordinates with Fire Life Safety vendors to maintain records are current and in compliance.
  • Coordinates with EOC Committee members to update all report information.
  • Manages and coordinates a variety of department projects, activities, reports, schedules and data collection and management.
  • Reviews policies and procedures and makes recommendations.
  • Maintains inventory, orders supplies and completes requisitions.
  • Reviews purchase requisitions and invoices through the Accounts Payable program.
  • Arranges and schedules meetings; coordinates meetings, agenda materials and records meeting minutes.
  • Maintains confidentiality of highly sensitive information and abides by HIPAA/Privacy Breach regulations.
  • Maintains and standardizes office procedures.
  • Provides prompt and accurate responses to all requests, problems, and questions.
  • Performs routine clerical tasks which may include, but are not limited to, filing, sorting, collating, stamping, delivering, routing, counting, stapling, folding, posting, tallying information, copying, stuffing, mailing, retrieving, checking, recording and relaying messages.
  • Operates computer equipment to store, edit, format, print and revise letters, memos, statistical tables, reports, forms, labels and other printed material.
  • Uses the work order system and generates reports.
  • Communicates appropriately and clearly with everyone in/out of HPMC.
  • Maintains a good working relationship with all points of contact.
  • Is flexible and organized.
