About The Position

The Employer & Alumni Engagement (E&AE) Specialist is responsible for researching, initiating, developing, and managing employer and alumni relationships to enhance the career development and employer engagement activity for UBC Vancouver students. The E&AE Specialist works with a team of colleagues within the Career Centre, as well as Alumni UBC to build effective and sustainable employer relationships that position alumni as employers, with the potential of fostering deeper relationships with the University and its students. In collaboration with campus partners and program stakeholders, the E&AE Specialist strategically manages the delivery of services and support provided to employers who are engaging with and recruiting UBC students and alumni, in order to create effective student-employer and student-alumni experiences. Additionally, the E&AE Specialist consults with the community about employment needs, international on-campus recruitment programs, services and systems for employers and alumni, which are in line with the University's mission; coordinated innovative events designed to assist students or alumni explore careers (fairs, expos, mentorship, and panel discussions) and expand professional networks. The E&AE Specialist is an active member of professional associations and industry communities and is able to effectively leverage significant industry knowledge and extensive professional networks to cultivate diverse employer and alumni networks with the Career Centre and Alumni UBC, and facilitate meaningful connections for students to the world of work.

Requirements

  • Undergraduate degree in a relevant discipline.
  • Minimum of three to four years of related experience, or an equivalent combination of education and experience.
  • Willingness to respect diverse perspectives, including perspectives in conflict with one’s own.
  • Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusion.

Nice To Haves

  • Masters degree in relevant discipline (management, human resources, business administration) preferred.
  • Experience in employer relations, account management, business development, recruitment, business administration, or human resource management.
  • Broad industry knowledge, extensive professional networks, and experiences in current best practices in on-campus recruiting.
  • Experience working collaboratively in a fast-paced, multi-faceted team environment.
  • Familiarity with marketing and communications practices, career development/education strategies, Canadian Association of Career Educators (CACEE) standards and guidelines for ethical recruitment, human rights, labour legislation and current human resources practices.
  • Knowledge of local, national, and international labour markets.
  • Outstanding interpersonal and communication skills (oral and written).
  • Marketing skills preferred.
  • Demonstrated ability to prospect, develop and sustain productive professional relationships with multiple and diverse stakeholders.
  • Ability to work flexible hours including evenings and the occasional weekend throughout the year to attend Career Centre, employer or related professional events at various locations on campus and in the community.
  • Ability to manage and advise campus-based career programs through an educational lens, ensuring student learning remains central to all decisions and planning; while working with diverse student populations.

Responsibilities

  • Builds extensive professional networks in designated industry areas to build strong and sustainable relationships between employers and alumni with the Career Centre and more broadly, UBC.
  • Designs, delivers and oversees all aspects of on-campus recruitment programs and services to ensure excellent partnership with employer and alumni communities and alignment with student interests and local, national and international labour market trends.
  • Advises employers and alumni on effective and inclusive strategies for recruiting UBC students and alumni, identifying target organizations to ensure a broad representation of employment opportunities and industries are accessible to students, and developing effective policies and procedures for coordinating all on-campus recruitment activities, in adherence with BC Employment Standards Act, CAS Standards, and Canadian Association of Career Educators (CACEE) standards and guidelines for ethical recruitment.
  • Designs and implements effective marketing strategies using a variety of media and methods to promote all on-campus recruitment activities to UBC students, alumni and faculties.
  • Designs, implements, and evaluates employer and alumni outreach activities through identification and development of relationships with potential new employers, alumni, and organizations.
  • Increases the number of local, national, and international employment opportunities for UBC students and alumni through identifying and developing relationships with potential new employers, alumni, and organizations.
  • Utilizes extensive knowledge of industry information and professional connections to provide support to, and inform educational events and networking through active participation in industry-related events and associations locally and nationally.
  • Investigates and responds to student complaints and/or inquiries regarding employer/alumni recruitment practices.
  • Determines appropriate and best course of action concerning complaints and communicates these to management and broadly across the Career Centre, in consideration of employment standards, ethical recruitment practices, and student learning goals.
  • Collaborates with key campus colleagues working within and across various faculties, programs, and different UBC departments supporting student engagement initiatives to generate strong alignment to, and connection with employer and alumni communities.
  • Collaborates with Manager, Career and Professional Development to ensure all outreach and/or on-campus recruitment activities are designed, supported and staffed, as needed, with appropriate levels of Career Education expertise.
  • Develops, plans, executes, and evaluates special events or programs for UBC student groups and/or organizations and/or prospective employers.
  • Leads on liaising with Alumni UBC to foster and explore existing and new partnerships with Faculty specific alumni professionals to develop a framework to approach alumni as potential employers and participate in career related events (career fairs, speaker series, career information forums).
  • Collaborates with faculty, other on-campus recruitment organizers, and business development partners on campus to represent the university.
  • Works as an advisor to support the development, planning and implementation of Career Centre flagship programs, events and/or services to integrate strong and intentional connections with employer communities.
  • Works in collaboration with other colleagues in the Employer and Alumni Engagement portfolio to design and implement communications strategy for Career Centre’s LinkedIn account to engage UBC students and alumni, as well as employer communities.
  • Supports the broader Career and Professional Development strategy within the Career Centre.
  • Conducts 1:1, or group advising sessions with UBC students or alumni seeking career support, as well as facilitating various career- related workshops offered by the Career Centre.
  • Responsible for the daily management of the Career Centre’s Career Services Management System, CareersOnline (Symplicity) to monitor pending employment, volunteer and other opportunities posted by new and current employers.
  • Works with the appropriate Career Centre, IT, and Symplicity staff on continuously improving and expanding CareersOnline.
  • Records Alumni engagement activity in Links platform after alumni engagements.
  • Leads and participates in cross-campus committees to develop and implement career initiatives and best practices in providing exceptional service to employers and alumni and build shared knowledge of on-campus recruitment experiences and activities across campus.
  • Works in collaboration with multiple stakeholders to influence and guide project goals, timelines, scope, processes, manage communication among project participants, identify obstacles, plan and chair meetings, track timelines and evaluate outcomes.
  • Tracks incoming expenses and revenue, maintaining updated budgetary records for all on-campus recruitment activities within Employer and Alumni Engagement and providing necessary reports/updates to Manager, Employer and Alumni Engagement as required.
  • Designs and delivers evaluations and assessments of student and employer/alumni experiences in adherence with CAS and other professional standards for all on-campus recruitment services and programs and prepares reports as appropriate.
  • Manages all statistics and data regarding employer engagement activity and prepares reports on a regular basis for the Manager of Employer and Alumni Engagement.
  • Manages all interview room process, works with employers to set up selection process and promotes and markets this service to employers.
  • Creates, implements and documents policies and procedures to effectively and efficiently manage employer recruitment activities and services.
  • Communicates these policies to Career Centre staff and campus partners.
  • Engages in and fosters existing partnerships with alumni UBC to leverage strategic opportunities, forge financial collaborations, and identify other synergistic opportunities to advance shared goals on student/alumni career preparedness, recruitment opportunities and alumni engagement as employers.
  • Other additional duties as required.
  • Makes independent decisions and recommendations in areas of planning, organizing and scheduling of work that are within budget guidelines and overall strategy of the Unit.
  • Exercises judgment in dealing with employers, faculty members and students.
  • Works independently, under guidance from the Manager, Employer and Alumni Engagement, using own judgment to make decisions on achieving specific goals.
  • Exercises initiative and sound judgment in making decisions and planning and executing Career Centre services and programs.
  • Demonstrates tact in dealing with faculty, staff, students, alumni and the public.
  • Works in close cooperation with Career Centre staff, keeping the Manager, Employer and Alumni Engagement informed through informal and formal sessions and written reports.
  • Uses judgment to make operational decisions to achieve specific goals.
  • Potential to supervise the recruitment, hiring and performance management of Work Learn student assistants.
  • Oversees the training of volunteers involved with the various events.
  • Assists with the training and supervision of support staff and training of new management and professional staff in the Career Centre.
