Position Summary: Reporting to the Associate Director, Engagement Operations, the Alumni Engagement Officer, works closely with Advancement colleagues in the development of overall strategies and the execution of special events and other engagement initiatives aimed at cultivating and stewarding alumni, donors and friends of the University in Montreal and around the world.

Requirements

  • Demonstrated experience with event management and the ability to organize large events from inception to delivery, preferably in an academic environment.
  • Experience and proficiency negotiating vendor agreements.
  • Ability to network, and to develop and maintain effective working relationships with suppliers and internal departments.
  • Demonstrated professionalism and discretion.
  • Ability to create a base of contacts including a variety of service providers.
  • Proven ability to work under tight deadlines and to manage multiple priorities.
  • Ability to anticipate possible difficulties, troubleshoot and implement solutions.
  • Supervisory experience and ability to build effective teams.
  • Proven ability to work with computer applications, databases and presentation software, as well as spreadsheets and word processing programs.
  • Must be able to work evenings and weekends, as required.
  • English and French, spoken and written.
  • Knowledge of English: The level of English required for this position has been assessed at a level 4 on a scale of 0-4.

Responsibilities

  • Formulate, recommend and implement events related to the strategic engagement, cultivation and stewardship of alumni, prospects and donors.
  • Use professional expertise, specialized skills and knowledge to manage all aspects of key signature and high-visibility events, from design to delivery to post-event analysis.
  • Plan large meetings, conferences and special events, including event budgets, venue bookings, catering and all necessary equipment and material orders; manage on-site event operations to ensure seamless execution at the highest standards.
  • Develop, establish and maintain quality working relationships with internal stakeholders and external service providers.
  • Build solid relationships with dignitaries, event hosts and speakers, to coordinate logistics related to travel and accommodations, and the preparation of orders of proceedings, speaking notes and briefing packages.
  • Collaborate on the creation of event communications plans; ensure the effective and compliant use of communications tools, templates and procedures with staff and other stakeholders.
  • Analyse event trends and results and make recommendations regarding future events and audience outreach plans.
  • Contribute to the development and implementation of new initiatives that advance UA’s strategies by staying informed of emerging trends and best practices in engagement.
  • Develop and implement effective administrative procedures, controls and CRM tracking systems for the unit.
  • Supervise staff and evaluate progress of assignments and results.
  • Undertake special projects as required.
