About The Position

This role serves a dual purpose, focusing on both Employee Health and Medical Staff Services. The Employee Health Specialist is responsible for ensuring the safety of staff and patients from infections and health-related concerns through vaccinations, education, and monitoring. The Medical Staff Assistant provides crucial administrative and clerical support to the Medical Staff Office, assisting with credentialing, privileging, provider enrollment, committee support, and maintaining provider records. This role also acts as a backup administrator for the Cactus credentialing software and assists with hospital and payer insurance credentialing activities.

Requirements

  • High school diploma or GED equivalent
  • Minimum of two years healthcare administrative, employee health, credentialing, provider enrollment, medical staff services, human resources or related experience.
  • Proficiency with Microsoft Office applications and electronic database systems
  • Knowledge of federal and state laws regarding infection, safety laws regarding infection, safety and health regulations.
  • Basic knowledge of medical terminology.
  • Knowledge of general office procedures and computer systems.
  • Ability to manage multiple projects simultaneously while meeting deadlines.
  • Ability to maintain confidentiality of sensitive information.
  • Strong organizational, communication, customer service, and critical thinking skills.
  • Ability to learn and maintain proficiency in Cactus credentialing software and employee health software.

Nice To Haves

  • Graduate of an accredited medical assistant program, License Practical Nurse (LPN) or associate degree in healthcare related field
  • Previous experience in employee health, infection prevention, Medical staff services, credentialing, provider enrollment, HR or occupational Health
  • Knowledge of credentialing software systems (Cactus).
  • CPCS, CPMSM, CMA or other related certification
  • Infection control or occupational health experience.
  • Knowledge of healthcare operations, credentialing processes, medical staff services, and provider enrollment preferred.

Responsibilities

  • Provide Employee Health Services to staff as needed and support the Infection Control Specialist.
  • Maintain appropriate documentation of all immunizations given to staff and data input into the state immunization registry.
  • Coordinate, plan, and operate the annual flu vaccine clinics.
  • Review and evaluate all pre-employment employee health items for newly hired employees.
  • Create titer letters and communication to new hires.
  • Maintain employee health software program.
  • Participate in all ongoing employee health initiatives.
  • Maintain and ensure confidentiality of patient information and medical records.
  • Schedule and assist with annual N95 and Papr fit testing for staff.
  • Evaluate staff for any medical complications and assess for appropriate fit and compliance with fit testing.
  • Support the duties of the Infection Control Coordinator whenever they are unavailable.
  • Assist with the education provided in the Care Learning modules, competency fair stations, and any other staff education.
  • Onboard new agency staff by reviewing titers, fit testing and other pertinent information.
  • Assist with workers’ compensation claims, scheduling any needed follow-up visits, and follow-up with the employee and workers’ compensation group.
  • Review any potential accommodations recommended by a provider as a new employee or return to work after a leave of absence.
  • Provide administrative and credentialing support to the Medical Staff Office.
  • Assist with provider appointment, reappointment, privileging, and credentialing processes.
  • Maintain physician, advanced practice provider, and dependent healthcare practitioner files.
  • Assist with collection, verification, tracking, and filing of credentialing documentation.
  • Track provider licenses, DEA registrations, BNDD registrations, board certifications, malpractice insurance, and other required credentials.
  • Monitor expiration dates and communicate renewal requirements to providers.
  • Ensure documents are professionally formatted and maintained for accessibility and regulatory compliance.
  • Maintain scanned and electronic provider records.
  • Assist with annual provider dues billing and related communications.
  • Provide support to physicians, advanced practice providers, and hospital leadership regarding credentialing-related requests.
  • Maintain confidentiality of all credentialing, peer review, and provider information.
  • Serve as backup administrator for the Cactus credentialing system.
  • Assist with maintenance of provider demographic, credentialing, privileging, and appointment information within Cactus.
  • Perform data entry and document management functions within the Cactus system.
  • Generate reports and provider data as requested.
  • Assist with troubleshooting and resolution of routine Cactus system issues.
  • Serve as backup support during the absence of the Medical Staff Coordinator.
  • Assist with audits and data validation activities to ensure accuracy of provider records.
  • Assist with hospital provider enrollment and payer credentialing applications.
  • Maintain records of payer applications, approvals, revalidations, and renewals.
  • Track credentialing status with commercial, government, and managed care payers.
  • Coordinate collection of documentation required for enrollment and recredentialing.
  • Communicate with insurance carriers and credentialing organizations as assigned.
  • Assist with preparation of Medical Staff Committee, Credentials Committee, Medical Executive Committee, and Board credentialing packets.
  • Maintain meeting records and supporting documentation.
  • Type and maintain meeting minutes as assigned.
  • Perform data searches regarding regulations, accreditation standards, statistics, and healthcare information as requested.
  • Provide communication to involved departments via email, telephone, or other approved methods.
  • Assist with special projects and regulatory surveys as assigned.
