About The Position

This position provides essential front-desk and reception functions within the Emergency Psychiatry Program. Responsibilities include greeting patients and visitors, managing a multi-line switchboard, fielding calls, and directing them appropriately. The role involves sending and delivering faxes, providing resource information for mental health and substance abuse treatment, and communicating with outside providers regarding inpatient beds or referrals. A key aspect is ensuring patients have necessary written materials upon leaving the unit, such as discharge paperwork, prescriptions, and appointment information. The assistant will also provide low-level crisis intervention, offer support, arrange for on-site intervention, and link individuals to crisis counselors. Data entry into electronic information systems for both Seven Counties Services and University of Louisville Hospital is a routine task, as is managing medical records, ensuring completeness of clinical documentation, and processing billing forms. Notarizing Mental Inquest Warrants and arranging ambulance transport are also part of the duties. The role requires communication with police departments, mental inquest warrant clerks, and inpatient psychiatric units to facilitate patient care transfers. Additionally, the assistant will perform low-level patient monitoring, alerting clinical staff and security as needed, and participating in crisis intervention techniques. The position demands proficiency in multitasking with minimal supervision in a fast-paced environment and functioning as a key member of a multidisciplinary team.

Requirements

  • Completion of up to 18 months’ business school, beyond high school.
  • One-to-two years’ experience working in an office setting and performing various clerical or administrative tasks.
  • Or, without any formal business school training beyond high school, three-to-four years of such experience.
  • Experience in a mental health or social services setting preferred.
  • Must be proficient at multi-tasking with minimal supervision in an often-fast-paced environment.
  • Must be a key player on a multidisciplinary team.
  • COVID and Influenza vaccinations are required for all employees.

Responsibilities

  • Performs front-desk/reception functions, including greeting patients and visitors.
  • Answers multi-line switchboard and fields calls of differing subject matter, routing them to the appropriate source.
  • Sends and delivers faxes.
  • Provides resource information to callers seeking mental health and substance abuse treatment resources.
  • Fields calls from outside providers seeking inpatient bed or making a referral to the psychiatric emergency room.
  • Ensures patients leaving the unit have written materials, including discharge paperwork, prescriptions, appointment information, and crisis contact information.
  • Provides low-level crisis intervention to callers in need, offering support, arranging for on-site crisis intervention, and linking to trained crisis counselors.
  • Completes data entry of patient data in electronic information systems, working with both Seven Counties Services and University of Louisville Hospital systems.
  • Performs medical record-related functions, including assembling legal health records and ensuring all required clinical documentation is present.
  • Processes billing forms and ensures documentation completeness.
  • Notarizes Mental Inquest Warrants, ensuring completion of documents and adherence to legal requirements.
  • Arranges ambulance transport to inpatient facilities.
  • Communicates with police departments and mental inquest warrant clerks to assist the clinical team in obtaining needed information.
  • Communicates with inpatient psychiatric units to facilitate seamless patient care transfers.
  • Provides low-level monitoring of patients, alerting doctors and the clinical team of potential or escalating agitation, contacting security staff if needed, and participating in crisis intervention techniques.
