About The Position

This position involves providing front-desk and reception functions, resource information, low-level crisis intervention, data entry into electronic systems, medical records management, notarizing legal documents, arranging patient transport, and monitoring patients. The role requires proficiency in multitasking, working with a multidisciplinary team, and handling administrative tasks in a fast-paced environment.

Requirements

  • Completion of up to 18 months of business school beyond high school, OR three-to-four years of clerical/administrative experience without formal business school training beyond high school.
  • One-to-two years of experience working in an office setting and performing various clerical or administrative tasks.
  • Experience in a mental health or social services setting preferred.
  • Working knowledge of Microsoft Office Suite.
  • Typing speed of 40-50 word units per minute.
  • Strong oral and written communication skills.

Responsibilities

  • Perform front-desk/reception functions including greeting patients and visitors, answering a multi-line switchboard, fielding and routing calls, and sending/delivering faxes.
  • Provide resource information to callers seeking mental health and substance abuse treatment, field calls from outside providers, and ensure patients have necessary written materials upon departure.
  • Offer low-level crisis intervention, support, and linkage to crisis counselors.
  • Enter patient data into electronic information systems, working with both Seven Counties Services and University of Louisville Hospital systems.
  • Manage medical records, including assembling legal health records, ensuring all required clinical documentation is present, and processing billing forms.
  • Notarize Mental Inquest Warrants, ensuring completion and legal compliance.
  • Arrange ambulance transport to inpatient facilities and communicate with police departments and inpatient units to facilitate patient transfers.
  • Provide low-level monitoring of patients, alerting clinical staff of agitation, contacting security if needed, and participating in crisis intervention techniques.
  • Demonstrate proficiency in multitasking with minimal supervision in a fast-paced environment and function as a key member of a multidisciplinary team.
