About The Position

This role serves as an Emergency Psychiatric Program Assistant - Administrative Assistant at UofL Hospital. The position involves a variety of front-desk, administrative, and patient support functions within a fast-paced environment. The assistant will be a key member of a multidisciplinary team, providing essential support to clinical staff and ensuring smooth operations within the psychiatric emergency program.

Requirements

  • Completion of up to 18 months of business school, beyond high school.
  • One to two years of experience working in an office setting and performing various clerical or administrative tasks.
  • Or, without formal business school training beyond high school, three to four years of such experience.
  • Experience in a mental health or social services setting preferred.
  • Working knowledge of Microsoft Office Suite.
  • Typing speed of 40-50 word units per minute.
  • Strong oral and written communication skills.

Responsibilities

  • Perform front-desk/reception functions including greeting patients and visitors, answering a multi-line switchboard, fielding calls, and routing them appropriately.
  • Send and deliver faxes.
  • Provide resource information to callers seeking mental health and substance abuse treatment resources.
  • Field calls from outside providers seeking inpatient beds or making referrals to the psychiatric emergency room.
  • Ensure patients leaving the unit receive written materials such as discharge paperwork, prescriptions, appointment information, and crisis contact information.
  • Provide low-level crisis intervention to callers, offering support and arranging for on-site crisis intervention or linking to trained crisis counselors.
  • Enter various patient data into electronic information systems, working with both Seven Counties Services and University of Louisville Hospital systems.
  • Perform medical records-related functions, including assembling legal health records, ensuring all required clinical documentation is present, and processing billing forms.
  • Notarize Mental Inquest Warrants, ensuring document completion and adherence to legal requirements.
  • Arrange ambulance transport to inpatient facilities.
  • Communicate with police departments and mental inquest warrant clerks to obtain necessary information.
  • Communicate with inpatient psychiatric units to facilitate seamless patient care transfers.
  • Provide low-level monitoring of patients, alerting doctors and the clinical team of potential agitation, contacting security if needed, and participating in crisis intervention techniques.
  • Multi-task with minimal supervision in a fast-paced environment as part of a multidisciplinary team.
