About The Position

The Senior Undergraduate Education Specialist coordinates and administers all aspects of the department’s undergraduate medical education clerkship and Sub-Internship, ensuring efficient operations and high-quality learning experiences. This role serves as the primary liaison among students, faculty, residents, clinical sites, and the School of Medicine (SOM), managing communication, scheduling, and program logistics. Under the direction of the Education Program Manager, the Specialist supports daily program operations; oversees student records, evaluations, onboarding; ensures program alignment with institutional and accreditation standards; provides advanced administrative support to the Clerkship Director; and collaborates with internal and external partners to support program effectiveness.

Requirements

  • Bachelor’s degree from four-year college or university; or equivalent combination of education and experience
  • Five or more years of program administration experience, preferably in higher education or medical/healthcare setting
  • Demonstrated ability to evaluate programs and implement innovative process improvement strategies
  • Excellent organization and communication (oral and written) skills
  • Demonstrated proficiency of Microsoft Office Suite and software used by the department

Responsibilities

  • Oversees the daily operations of the EM clerkship program, including proactively resolving issues, implementing process improvements, prioritizing tasks, and ensuring smooth execution of all clerkship activities and rotations. Maintains a thorough understanding of current clerkship goals, policies, and standards, operating under the direction of the Education Programs Manager.
  • Serves as the primary point of contact for students, faculty, residents, clinical sites, and School of Medicine administration; communicates schedules, curriculum updates, policies, and course materials, as needed and applicable; responds to all inquiries submitted via the website; collaborates with other departments (e.g., OSA, MedScope, VidaNova, MedHub) to support Undergraduate educational operations and student needs.
  • Provides comprehensive administrative support to the Clerkship and Sub-I Director, including calendar management, coordination of activities, and acting as the Director’s designee, as needed; monitors the SOMs calendar and prepares for all applicable course offerings.
  • Develops and manages student rotation rosters, schedules archiving, records site assignments; coordinates teaching sessions, laboratory activities, orientation sessions, room reservations, and standardized patient/model scheduling; approves or denies student scheduling requests.
  • Manages the student evaluation process, including collection, tracking, and verification of evaluation compliance; verifies and maintains accurate student records in all applicable databases, ensuring compliance with institutional policies and accreditation requirements; coordinates NBME exam logistics with the SOM.
  • Coordinates visiting student rotations in partnership with the School of Medicine; manages onboarding logistics including system access, email accounts, badges, and orientation materials; ensures all students are entered into departmental databases.
  • Collaborates with internal and external departments to support program operations and rotations; provides technical and administrative support to learners; manages purchasing and reconciliation of program expenses (e.g., meals, exams, payments).
