Metropolitan Family Services is hiring a full-time Eligibility and Enrollment Technician to join their DuPage Team. Requirements

  • High School Diploma or GED, required.
  • Basic knowledge of Head Start Performance Standards, State Preschool & Licensing Regulations Services, required.
  • Computer skills, including Internet operations, Microsoft applications.
  • Ability to relate effectively with parents and staff, work collaboratively with management, communicate effectively with a diverse workforce, and display a positive regard for and sensitivity to diverse families
  • Ability to troubleshoot basic problems and prepare comprehensive reports
  • Ability to develop and maintain strong community relations and positive interpersonal relations
  • Ability to organize records and paperwork processes and consistently demonstrate excellent oral and written communication skills.
  • Assist with preparing and presenting reports, training plans, and workshops
  • Ability to consistently relate effectively with children, parents, staff, and local services providers
  • Maintain confidentiality and exercise tact and discretion in answering questions and releasing information
  • Provide prompt, efficient and responsive service in a demanding work environment
  • Analyze and project consequences of decisions and/or recommendations
  • Must have regular access to reliable transportation or a reliable vehicle with insurance.
  • Ability to work a flexible schedule including some evenings and/or weekends if needed.
  • Ability to work independently as well as in a team setting
  • Satisfactorily pass all relevant screening and criminal background checks.
  • Driving for work required with a personally owned vehicle.

Responsibilities

  • Assists with recruitment, selection, enrollment, and eligibility determination as defined by MFS Early Childhood policies and State and Federal regulations
  • Assist with providing additional training on policies and procedures on recruitment, determining eligibility, selection criteria, enrollment, and attendance to Family Service Workers.
  • In collaboration with the Family Engagement Manager, assist in tracking and monitoring of ERSEA (Eligibility, Recruitment, Selection, Enrollment and Attendance) from data entered in the electronic database, reviewing enrollment documents, meeting with staff, etc.
  • Assists in the maintenance of eligibility folders: including processing, uploading and destruction of documents.
  • Follows all HIPPA policies and procedures, along with all other related relevant confidentiality rules.
  • In collaboration with the Family Engagement Manager, assist in reviewing and updating the selection criteria, and process on an annual basis based on community needs assessment and program data.
  • Assist with writing and submitting reports based on data entered into the electronic database. The reports identify trends, compliance issues, accuracy of data entry, and other information needed as determined by Director of Early Learning and/or OHS.
  • Ensure that all eligibility, selection, attendance and enrollment data entered into electronic database is current and accurate.
  • Establish and maintain accurate documentation of age and income eligibility for children and pregnant women participating in the program.
  • In coordination with the Data Coordinator identify trends to enhance the program
  • Assist in all areas of recruitment and intake at centers, public relations events, conducting in-service training to community agencies and attends trainings, conferences and meetings as required
  • Ensure that ERSEA policies, procedures and timelines are followed.
  • Provides active supervision to ensure the safety of children while in the classroom, during transitions, and while on the playground. Ensures that no child shall be left alone or unsupervised.
  • Assists in the development of the agency’s annual program self-assessment.
  • Performs other duties as assigned.
