About The Position

The Reports Writer supports Compu Dynamics' preventative and predictive testing program by transforming raw test results, technician notes, and vendor findings into accurate, polished reports for customers. This role is crucial for ensuring program deliverables are on track and well-documented, while also providing essential administrative support to the Account Manager, allowing them to focus on customer relationships, renewals, and program growth.

Requirements

  • High school diploma or equivalent.
  • 2+ years in an administrative, report writing, document control, or coordination role.
  • Experience producing accurate, professional business documents.
  • Strong writing, formatting, and proofreading skills.
  • Able to read and understand technical test data with training.
  • Well organized and able to juggle many deadlines at once.
  • Careful attention to detail.
  • Skilled in Microsoft Word and Excel and comfortable working with PDFs.
  • Comfortable working in a CRM and keeping records current.

Nice To Haves

  • Experience in electrical services, construction, facilities, or data centers.
  • Familiarity with test reports, oil analysis results, or equipment inspection records.
  • CRM experience.
  • HubSpot experience.

Responsibilities

  • Prepare and finalize customer reports for testing program work, including oil testing, electrical testing, and equipment inspections.
  • Review raw test data, technician field notes, and vendor results and turn them into clear, accurate reports.
  • Flag failed tests, unusual readings, or missing data to the Account Manager before a report is delivered to a customer.
  • Proofread and quality check every report before delivery.
  • Keep report templates up to date and consistent with Compu Dynamics branding.
  • Track every deliverable in the testing program to monitor due dates, progress, and delivery status.
  • Follow up with technicians, vendors, and the Nerve Center to gather necessary information to complete reports on time.
  • File final reports and maintain organized records by account and equipment.
  • Log report delivery and account activity in HubSpot.
  • Provide day-to-day administrative support to the Account Manager, including meeting preparation, customer correspondence, and document management.
  • Assemble renewal materials such as equipment lists and service history summaries.
  • Help assemble job handoff packages and ensure all supporting documents are complete.
  • Assist with project deliverables as needed, including closeout documents, program binders, and records requested by customers.
  • Support other documentation projects for the Service Division as assigned.
