About The Position

Under direction, provides administrative and program support to the residency and/or fellowship programs within the department.

Requirements

  • High School Diploma
  • Excellent communication skills (both verbal and written).
  • Demonstrated organizational skills and ability to pay close attention to detail.
  • Ability to multi-task and self-prioritize work.
  • Approximately 3 years of related experience in an academic medical center.

  • Bachelor's degree is preferred.

Responsibilities

  • Coordinates the administrative functions of the department’s fellowship and/or residency program(s), including the recruitment of applicants, orientation, credentialing, documentation and evaluation.
  • Coordinates annual appointment, credentialing, onboarding and off-boarding processes for existing and new residents, fellows, observers, visitors and volunteers.
  • Ensures that the department's educational/training program(s) are in compliance with ACGME guidelines. Prepares documentation and recommendations to ensure favorable judgments on audits, re-accreditation and re-certification criteria.
  • Organizes and prepares for resident or fellow/faculty/program evaluations including bi-annual performance reviews, bi-annual ACGME Clinical Competency Committee (CCC) and annual Program Evaluation Committee meetings.
  • Remains current on all regulations, policies and requirements of various regulatory bodies. Guides faculty, trainees and staff to ensure regulatory requirements, documentation and deadlines are met.
  • Coordinates and tracks compliance with mandatory Medical College and Hopsital requirements on Annual Health Assessments, Annual Hospital Training, annual Organizational Readiness, faculty development reviews and other regulatory requirements.
  • Coordinates the administrative functions of the National Residency/Fellowship Match program.
  • Manages all facets of the residency/fellowship interview process
  • Processes residents/fellows reimbursements . Processes education program related expenses, ensures prompt payment and track expenses.
  • Identifies opportunities to improve efficiencies and mobilizes faculty, staff and resources to support the delivery of a high-quality educational experience.
  • Prepares, maintains and/or distributes rotation and on-call schedules for fellows, attendings, medical residents and/or students as needed.
  • Promotes divisional/fellowship activities through approved divisional social media accounts.
  • Assists Chief and Division Administrator with scheduling, coordination, and other divisional needs, as necessary
