Requirements

  • High School diploma and five years of successful administrative assistant, business or education related experience, OR Associate's degree and 3 years administrative assistant, business or education related experience, OR Bachelor's degree and 1 year administrative assistant, business or education related experience.
  • Excellent verbal communication skills, including phone etiquette, presentations, and customer service.
  • Excellent written communication skills, including professional correspondence, minutes, and announcements.
  • Proficient with computer software and office equipment, such as Microsoft Office, databases, phone systems, and duplicating equipment.
  • Ability to maintain strict confidentiality of information.
  • Good personal skills, including the ability to work collaboratively and professionally to build rapport with others at all levels of responsibility.
  • Adaptable and flexible in a changing work environment that requires upgrading of skills.
  • Must live within a 100-mile driving distance to the Arizona, Florida or Rochester Mayo Clinic campuses.

Nice To Haves

  • Some leadership experience is preferred.
  • Work experience in academic medical education is preferred.
  • On-site proctoring experience is a plus.
  • Familiarity with medical licensure and visa categories is preferred.

Responsibilities

  • Works independently to coordinate assigned processes/programs, such as appointment, application, interview, scheduling, pre- and post-matriculation, orientation, and committee support.
  • Serves as a resource and interprets respective department-specific policies and procedures.
  • Handles multiple activities and challenges simultaneously with minimal direction.
  • Uses good judgment in facilitating questions, phone calls, meeting scheduling, and other assignments.
  • Serves as a resource and/or trainer for applicable technology systems.
  • Coordinates and maintains specific learner/faculty data, including entering/updating data and preparing reports.
  • Has working knowledge of accreditation requirements specific to the school.
  • Attends courses and meetings to enhance job knowledge or represent Mayo Clinic.
  • Supports the Education shield in both onsite and remote work environments.
