E-Commerce & Wine Club Fulfillment Coordinator
About The Position
The E-Commerce & Wine Club Fulfillment Coordinator supports the day-to-day operations of E-Commerce and Wine Club fulfillment while providing responsive service to members and customers. This role coordinates order processing, inventory management, shipping, compliance, Wine Club builds, and related warehouse activities, ensuring orders are accurately prepared and shipped on time. The Coordinator also assists with membership account management, communications, events, and general member support, while collaborating with Warehouse, Marketing, and other departments to maintain efficient processes and a high-quality customer experience.
Requirements
- Experience in a retail closely related field
- Experience in customer service, shipping
- Experience with E-Commerce or website maintenance
- Ability to use a personal computer and have working knowledge of computer programs including, but not limited to, Microsoft Word and Excel
- Must have active TABC and Food Handler certifications at all times.
Responsibilities
- Oversee outgoing shipments for orders placed through Webstore
- Provide customer service by assisting in placing orders and/or answering questions over the phone or via email
- Maintain an accurate inventory for all wine stored for DTC and Wine Club
- Lead DTC monthly wine pull, submit to Warehouse
- Check in monthly DTC and Wine Club shipments of wine to ensure accurate movement; Review monthly paper transfer from Warehouse for accuracy
- Execute transfer of wine when needed in OrderPort to maintain accurate inventory between departments (excluding Warehouse)
- Keep track of compliance for individual items through ShipCompliant and states that require direct compliance
- Interacting with our VinoShipper platform to ensure proper shipments and listing of items
- Keep Warehouse organized to maximize space for regular inventory and Wine Club inventory
- Maintaining an accurate count and ordering of shipping supplies
- Monthly cost transfers between all departments for shipping
- Interacting with shipping providers (FedEx and UPS) as necessary to solve any shipping related issues e.g. Hold-at locations, damages, address issues, filing/managing damage claims, etc.
- Assist Marketing with webstore maintenance when necessary
- Execute large quantity holiday shipping orders
- Assistance in executing quarterly Wine Club building, Lead in shipping
- Lead quarterly Wine Club Hard Ship build
- Lead Custom Order building/shipping for Wine Club
- Wrapping and loading all Wine Club/hard ship shipments
- Maintain processes to ensure Wine Club labels get printed correctly across OrderPort/VinoShipper
- Traveling to other locations for member and company events to assist, as needed
- Assist with Wine Club communications, Red Chirp campaigns, e-communication edits, allocation declines, customs details, hardship charging, report pulling, etc.
- Connecting with Members via phone and email to handle general needs and requests, update all account information
- Assist with execution of Member Bash and Member events, with occasional travel
- Perform other duties as required including assisting other departments as needed
