Sherman Atlas Sylvester & Stamelman is currently recruiting for an E-Billing Coordinator/ Conflicts Analyst for our Florham Park office. This position will be responsible for the administration of the electronic billing processes, conflicts check reporting and accounts payable data entry. The ideal candidate will possess strong analytical and problem-solving skills. The E-Billing Coordinator/ Conflicts Analyst will report to the Controller. This is an in-office position five days per week.

Requirements

  • 1+ years e-billing experience (e.g. ProLaw)
  • Experience with ProLaw
  • Excellent verbal and written communication skills
  • Self-starter that delivers superior customer service
  • Must be detail-oriented with excellent organizational skills
  • Ability to work in a fast-paced environment
  • Flexibility to work overtime, as needed

Nice To Haves

  • Law firm experience preferred

Responsibilities

  • Responsible for the administration of all electronic billing clients; inclusive of documentation, training, analysis, reporting, and security.
  • Maintain profile for each electronic billing vendor being utilized; inclusive of policies and contact information. Communicate all e-billing guidelines, and updates to key members of the Finance Team.
  • Meet with billing attorney(s) or secretaries to discuss electronic billing processes.
  • Generate and distribute e-billing reports on a weekly basis / Audit on a weekly basis
  • Work within the E-billing Hub and help troubleshoot/resolve electronic billing problems.
  • Work with Billing Coordinators and timekeepers in order to ensure compliance with all Electronic Billing Guidelines.
  • Work with Collections Team to solidify proactive follow-up on aged invoices submitted electronically and auditing.
  • Address all rejected invoices within two business days and auditing
  • These duties may be ongoing or ad hoc in nature.
  • Other duties as may be assigned to fully meet the requirements of the position
  • Prepares and finalizes conflict check reports using the firm’s conflicts database to be sent to attorneys, analysts and other staff
  • Analyzes, or is able to analyze when necessary, standard new business and lateral conflicts checks such as advisory, NDAs, transactional checks and others
  • Communicate with attorneys and staff regarding conflict check results and any missing information from the request form, validating the requirements for the conflicts check with the attorney or secretary requesting the report
  • Updates data in the conflicts databases as necessary; conduct corporate research using internal and external information resources to confirm the accuracy of the information
  • Obtains the necessary guidance from attorneys or other Conflicts staff with understanding the requirements to properly evaluate the conflicts check (lateral candidate, potential client, potential adverse party, etc.)
  • Conducts research regarding corporate entities that are subject to conflicts review using a variety of electronic databases, the Internet, and print sources
  • Analyzes and replies to attorneys’ responses concerning any potential or actual conflict
  • Prepares a summary of information from the conflicts report analysis and follow-up responses, and reports the information to the attorney who made the request
  • Communicate with attorneys by presenting a brief, clear statement of potential conflicts situations recognized in the conflicts reports
  • Open matters
  • Enter vendor invoices into Firm’s system (ProLaw) for payment
  • Enter client invoices into the Pro-Law and enter client/matter # and information for billing purposes.
  • Enter partners’ / attorneys’ / staff’s expense reports for payment
  • Double check amounts, sums, totals, etc.
