About The Position

The Donor Relations Specialist role serves as the primary point of contact for donor servicing requests received via phone and email, while also providing project support that strengthens the effectiveness of the Fundraising team. This dynamic role ensures a high standard of donor care, accurate donor records and receipting, and smooth execution of recurring fundraising operations. This position is hybrid with three days in-office each week. Schedule: Monday – Friday 8:30AM - 5:00PM Target starting pay: $27.42 per hour

Requirements

  • 1+ years of experience working with complex donor/client management systems is required
  • 1+ years of experience working in a non-profit fundraising environment is required
  • 1+ years of project management or administrative experience is required
  • Strong ability to work and influence horizontally and vertically within an organization required
  • Proficiency with Microsoft 365 specifically excel and outlook, Zoom, ChatGPT/MSCopilot and donor database systems required

Nice To Haves

  • Bachelor's degree in related field preferred. A combination and education and 4 years of related experience may be substituted for a degree
  • 2 years preferred experience working with complex donor/client management systems
  • 2 years preferred project management or administrative experience

Responsibilities

  • Manage inbound donor requests received through community-facing phone lines and email inboxes, with a goal of responding within one business day.
  • Assess the complex spectrum of Donor Servicing needs and pursue problem solving with efficiency including but not limited to: Resolving receipting, gift acknowledgment, and annual tax letter issues. Identifying and correcting account errors, facilitating database account mergers, missing gift problem solving, and communication preference updates. Communicating resolutions clearly to donors via phone and email in a timely manner.
  • Provide monthly donor servicing, including outbound calls and emails to donors with lapsed or failed recurring gifts and inbound support for cancellations, gift changes, and credit card updates
  • Manage donor contact preferences, including address updates, mail preferences, and email subscription changes.
  • Process phone donations via the internal giving platform as requested by donors.
  • Effectively handles upset or dissatisfied donors by de-escalating concerns, identifying solutions, and reinforcing the donor’s valuable impact to the Mission, with the intent to retain and strengthen donor relationships long-term.
  • Provides clear, accurate responses to a wide range of general donor inquiries, including gift confirmation, giving options, online portal access, and organizational information.
  • Proactively identify gaps, inefficiencies, and downstream impacts across the Donor Servicing system and workflows and partners with the CDO and Mid-Level Giving Manager to improve processes that strengthen the end-to-end donor experience.
  • Support the broader fundraising team by managing regular processes and seasonal, project-based work that require attention to detail, coordination, and timely execution including but not limited to: Lead and facilitate team lunches, meetings, and birthday acknowledgments as time allows. Orchestrate and arrange annual fundraising stewardship opportunities, like pumpkin bread delivery, Christmas bouquet deliveries, and other impactful moments. Database support throughout seasonal cross team projects, with the help of cross team partners. Provides support for additional administrative and operational needs as capacity allows, bringing a proactive mindset and discernment to identify opportunities where their expertise can improve efficiency and effectiveness.
  • Attend and participate in all Mission, Division and Department meetings and training, as required.
  • Any other job-related duties as assigned by supervisor.
