About The Position

The Indiana University Foundation is seeking a Donor Experiences and Events Assistant to help turn private support into impact by keeping the donor experiences, recognition activities, and events that connect people to Indiana University running smoothly. A major part of your work involves event support, managing timelines and run-of-show documents, handling nametags, coordinating catering, and being present onsite. After events wrap, you compile reports and enter attendance information into the donor database. You bring a service-oriented mindset to this work, staying detail-focused and collaborative to make sure nothing slips and every event reflects well on IUF. You also keep the department running smoothly day-to-day by coordinating the purchasing of event supplies and department materials, maintaining stock levels and storage areas, monitoring equipment, and handling department accounting from check requests and invoice follow-up to travel reimbursements. You're the go-to person colleagues rely on to keep things organized, current, and ready, managing shared inboxes, keeping forms and procedures accurate, and staying sharp on the technology that supports the team's work. Requirements

  • 2 years of experience in event logistics, coordination, or a related field
  • Proficiency in basic Microsoft Office suite required, with enhanced abilities in Word and Excel
  • Strong organizational and customer service skills
  • Ability to multi-task with meticulous attention to detail
  • Ability to build working relationships across all levels, both internally and externally
  • Ability to work with autonomy and take ownership of assigned responsibilities
  • Excellent writing and editing skills
  • High degree of comfort working in an environment where business needs fluctuate and change regularly
  • Ability to exercise good judgment in the handling of confidential information
  • Demonstrated ability to leverage technology to manage projects and streamline day-to-day work
  • Professional demeanor and situational awareness

Nice To Haves

  • Bachelor's degree preferred
  • Experience supporting budgeting or finance functions is strongly preferred
