About The Position

The Donor Experience and Stewardship Coordinator serves as a welcoming and professional first point of contact for the Food Bank while providing administrative and operational support to the Development team. The position coordinates donor stewardship activities, supports fundraising campaigns and events, assists with cause marketing, third-party fundraising efforts, and preparation of donor communications and materials. This position’s focus on stewardship plays a key role in donor retention for the Food Bank. In addition, this position coordinates daily front desk operations, including greeting and assisting visitors, responding to telephone and email inquiries, coordinating deliveries and mail, and connecting community members with appropriate Food Bank programs and resources. The ideal candidate is highly organized, relationship-oriented, detail-driven, responsive, and committed to providing exceptional service to donors, community members, visitors, and internal staff.

  • Associate’s degree in nonprofit management, volunteer management, communications, project management, public relations, or related field required.
  • One (1) year of experience in donor relations, customer service, or project coordination required.

  • A combination of relevant education, certification, and extensive professional experience may be considered in lieu of a formal degree.
  • Proficiency with CRM software preferred.
  • Nonprofit, food banking, or community partnership experience is a strong plus.
  • Lived experience with the impacts of systemic racism or marginalization is a plus.

Responsibilities

  • Coordinate, support, and take an active role in donor stewardship activities and initiatives in collaboration with the Development team.
  • Pull and compile basic donor reports, giving summaries, and other information to support development and stewardship efforts.
  • Generate and distribute weekly donor thank-you lists and coordinate assignment of stewardship activities to Gift Officers.
  • Work closely with Annual Giving Officer to implement mid-tier and monthly stewardship.
  • Implement, maintain, and track the Development team’s stewardship milestone system to ensure timely and meaningful donor engagement.
  • Assist with donor stewardship touchpoints, including thank-you calls, handwritten cards, recognition materials, and tokens of appreciation.
  • Collaborate with the Development team on the selection, preparation, and distribution of holiday and major campaign donor gifts.
  • Review Double the Donation Match 360 information and communicate with donors as needed to obtain required information and documentation to facilitate matching gifts.
  • Maintain accurate and organized stewardship records and tracking information.
  • Coordinate tracking and administrative support for cause marketing activities and third-party fundraising initiatives.
  • Participate in monthly DMC calls and maintain awareness of FANO cause marketing activities and opportunities.
  • Develop, maintain, and regularly update the cause marketing calendar to ensure accurate tracking of activities, deadlines, and commitments.
  • Assist with the coordination and administrative support of the charitable grant cycle process.
  • Maintain organized records and documentation related to cause marketing, third-party fundraisers, and grant activities.
  • Provide administrative and logistical support for Development events, campaigns, and seasonal fundraising initiatives.
  • Assist with mailings, appeals, campaign communications, materials preparation, and other campaign logistics for initiatives including Strike Out Hunger, Hunger Action Month, Shine the Light on Hunger, and Celebrity Chef.
  • Track event registrations, attendance, and other participation information.
  • Coordinate with members of the Development team to ensure campaign and event materials are prepared and distributed accurately and on schedule.
  • Research and maintain accurate records of donor and organizational points of contact and update information as needed.
  • Prepare and organize mailings for Gift Officer personalization and distribution.
  • Proofread, format, and prepare correspondence, documents, forms, memos, reports, mass mailings, and other Development materials.
  • Create and assemble personalized information packets and materials for donor tours, meetings, and visits.
  • Update presentation slides and other materials used for corporate, civic, and community presentations.
  • Provide general administrative and organizational support to the Development team as assigned.
  • Maintain a professional and responsive communication presence on behalf of the Food Bank.
  • Open and monitor the front entrance during regular business hours and maintain a welcoming, professional, and secure reception area.
  • Develop and maintain a working knowledge of Food Bank programs, food banking operations, community resources, and available services to effectively assist donors, visitors, and community members.
  • Greet and assist visitors, contractors, vendors, donors, community members, and other guests, facilitate the sign-in process, and provide visitors with badges as appropriate.
  • Notify employees when external visitors arrive for meetings, appointments, or other business.
  • Assist walk-in neighbors in need by providing information and resources available in house, supporting onsite SNAP activities, directing them to appropriate resources, and explaining available Food Bank programs and services.
  • Assist visitors making financial donations by notifying the appropriate Gift Officer.
  • Assist visitors with food drive box drop-offs and pickups by directing them to the appropriate staff or area.
  • Monitor to front desk communications including phone calls, voicemail, email inquiries, and Teams messages in a professional and timely manner, responding directly or transferring to the appropriate employee or department.
  • Receive, sort, open, and distribute incoming mail and other deliveries to the appropriate employees or departments and notify employees when necessary.
  • Other duties entrusted within your scope of practice.
