About The Position

Assists the Donor Engagement and Events Director of Eisenhower Health Foundation in meeting Capital Campaign, 24/7, Annual Giving and Planned Giving fundraising goals; produces and delivers extremely detailed tasks, a high-level of organization and communication and compassion with donors, employees and external partners in a dynamic event environment. Attends Foundation events to ensure overall success as directed by leadership.

Requirements

  • High school diploma, GED or higher level degree
  • One (1) year of experience in a customer service role
  • Ability to adapt quickly to changing priorities and unexpected situations
  • Ability to create a welcoming environment for patients and visitors, demonstrating empathy and respect in all interactions
  • Ability to effectively communicate in a positive and professional manner
  • Ability to prioritize tasks and manage time efficiently to meet deadlines
  • Ability to use Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software applications
  • Ability to work in a physically demanding job that may include lifting, carrying, pushing or pulling up to 50 pounds
  • Ability to work in various environments, including indoor venues, outdoor spaces and large-scale event locations
  • Exceptional writing, editing, and proofreading skills with strong attention to detail

Responsibilities

  • Demonstrates compliance with Code of Conduct and compliance policies and takes action to resolve compliance questions or concerns and report suspected violations.
  • Responsible for all event name tags; works with other departments on requesting donor lists; creates name tags, proofs and ensures accuracy and correct details.
  • Responsible for submitting and overseeing the process and communication for all the approved Foundation event invoices and accounts payable; files copies in appropriate event folder, creates and submits purchase orders, onboards new vendors with finance and communicates to vendor or partners expected payment dates; supports Director in year-end reconciliation.
  • Schedules and manages changes with photographers and valet and parking services; responsible for distributing photos or making appropriate action depending on the direction of the Donor Event Lead or Director.
  • Responsible for planning and executing internal meetings and events.
  • Collects vendor certificates of insurance and responsible for all event files and documentation.
  • Supports Donor Events Team on all ticketing and ticketing events; supports Donors on all ticketed events and their delivery and access of digital or physical tickets.
  • Responsible for answering donor’s calls regarding events, takes accurate phone messages, RSVPs, event requests, distributes information appropriately and follows up with donors, if necessary.
  • Responsible for answering donor’s emails regarding events and gives donors professional and accurate answers in writing and follows up with donors, if necessary.
  • Responsible for supporting donors in person whether at an event or in the office. Greets walk-in donors and supports their questions, involving event information, RSVPs and payment for events, if necessary.
  • Documents and communicates important and thoughtful details from donors to provide excellent customer service.
  • Responsible for physical event preparation, load-in, set-up and load out for indoor and outdoor events and tours.
  • Ensures 5-star Excellence of Eisenhower Health Foundation are delivered graciously and thoughtfully every day in operations and relationships, while being fiscally responsible.
  • Attends Foundation Events and facilities onsite execution to ensure expectations are met by vendors and successful outcomes.
  • Performs other duties as assigned.
