This role provides support to the Operations and Sales teams by proactively tracking shipments, preparing documents, generating Bills of Lading (BOL), and verifying load status and delivery integrity. The specialist will make a high volume of outbound calls to carriers (up to 100 per day) to confirm shipment status, location updates, and delivery timelines. They will provide timely and accurate Estimated Time of Arrival (ETA) updates to customers and immediately escalate service failures or delays to the Operations and Sales teams. The role ensures carrier compliance with required tracking tools and platforms, such as Trucker Tools and other approved visibility systems. Clear and effective communication with clients, carriers, and peers regarding shipment progress, delays, and exceptions is essential. The specialist will frequently communicate with internal teams, customers, and carriers to gather Proof of Delivery (POD), BOLs, invoices, and real-time updates to close loads promptly. They will consistently track and trace freight movements from origination to final delivery and proactively resolve operational challenges, ensuring final delivery confirmation and proper documentation before load closure. The position also involves providing unmatched Customer Service through daily conversations with customers/carriers to build relationships and serve their needs, and serving as backup for after-hours Capacity Procurement coverage during unplanned absences or scheduled Paid Time Off (PTO). Regular and reliable attendance is an essential function of this position.
