The world relies on HPS to continually conceive and produce state-of-the-art transformer technology. We currently have an opening for a Documentation Assistant Co-op, come grow with us! This is for a 4-month Co-op position for the September 2026 work term. Reporting to the Director, Quality, the Documentation Assistant supports the ongoing organization, maintenance, and accessibility of controlled documents within the Document Management software system. This role contributes to the effectiveness of the Business Management System by developing user lists and notification groups, supporting document structure, and assisting in the creation of related work instructions to support user competency.

Requirements

  • Working towards a Diploma/Degree in Quality Management, Business Administration or a related field
  • Strong capability in Microsoft Office software including Excel, Outlook and Word
  • Experience with Adobe Acrobat, Visio Pro and/or document management software
  • Experience with data-entry with strong attention to detail
  • Excellent written and verbal communication skills
  • Excellent organizations skills and able to effectively prioritize
  • Ability to work independently, self-motivated, requiring minimal supervision
  • Creative thinker

Nice To Haves

  • Any fluency in French or Spanish would be considered an asset

Responsibilities

  • Support the ongoing organization, structure, and maintenance of controlled documents within the Document Management software system.
  • Link documents to applicable procedures, work instructions, reference documents, and ISO standards to improve document accessibility and system integration.
  • Create, maintain and edit department lists, user groups, notification groups, and document distribution groups ensuring association with applicable documents and departmental requirements to support communication requirements across departments.
  • Assist document owners with maintaining current and accurate controlled documents, department lists, document lists and related information within the document management software system.
  • Assist with the creation, revision, and formatting of work instructions, training documents, visual aids, fillable forms, and process flowcharts
