About The Position

Community Care Network is looking for a Documentation and Administrative Specialist to join our team! Community Care Network is comprised of Rutland Mental Health Services and Rutland Community Programs. Our mission is to enhance the well-being of our communities, individuals and families through responsive, innovative and collaborative human service. The Documentation and Administrative Specialist will be a team member who utilizes their skills to assist in the maintenance and compliance of the Electronic Medical Record for Rutland Mental Health Service (RMHS). The Documentation and Administrative Specialist carries out duties for RMHS and Rutland Community Programs (RCP) in accordance with the Compliance program, which requires that all services be provided in compliance with all State and Federal laws governing our operations and be consistent with high standards of business and professional ethics. All employees shall review the designated compliance policies from time to time and as necessary, to guide their actions and behalf of RMHS and RCP.

Requirements

  • High School Diploma or GED minimum education required.
  • Minimum of two years’ experience in a clinical setting.
  • Working knowledge of EMR and ability to maneuver within the EMR.
  • Working knowledge of State and Federal Regulations.
  • Ability to perform tasks requiring independent knowledge in addition to procedures or instructions provided.
  • Excellent interpersonal, communication, problem solving, and conflict resolution skills.
  • Must have a valid driver’s license, reliable transportation with personal automobile liability insurance coverage at or above the levels mandated by the State of Vermont.
  • Successful completion of a criminal history background check after hire.

Responsibilities

  • Ensures specific documents are following all applicable State, Federal, and Agency Standards.
  • Ensures specific documents have appropriate signatures and if needed send out to clients/guardian for an electronic signature.
  • Provides administrative support and guidance to the clinical staff regarding documentation of services.
  • Scans documents into the Electronic Medical Record and approves specific services in the Electronic Medical Record (EMR).
  • Determines Individual Plans of Care and Quarterly Reviews are present in the records and dates are correct; services provided are prescribed, clinician and physician signatures present.
  • Assists with EMR maintenance developing and maintaining a program to keep the EMR current and running.
