About The Position

The Association of American Medical Colleges (AAMC) is seeking a Document Processing Associate to support the advancement of the medical education unit by assisting with high-stakes application processing. This role involves reviewing, validating, and processing application documentation for accuracy and completeness, ensuring alignment with established procedures. The associate will also provide general operational support, including data entry and customer service tasks, to maintain efficiency. By ensuring timely and accurate processing, this position contributes to departmental goals and the broader strategic initiatives of the service unit.

Requirements

  • High School Diploma
  • 1-2 years of related work experience
  • At least 1-2 years of experience in a high-volume, detail-oriented processing environment.
  • Demonstrated ability to manage multiple priorities while maintaining accuracy and meeting deadlines.

Nice To Haves

  • Associate’s Degree or equivalent professional experience
  • Experience working with customer service platforms (e.g., Salesforce) and data management systems.
  • Familiarity with Fee Assistance Program policies and procedures is strongly preferred.

Responsibilities

  • Perform in-depth evaluation of applicant information contained in AMCAS and Fee Assistance applications against various types of supporting documentation.
  • Match official transcripts and supporting documentation to applications to ensure accuracy and compliance.
  • Maintain production totals and adhere to rigorous processing schedules and deadlines.
  • Research and resolve transcript- and application-related inquiries in a timely and professional manner.
  • Meet with team lead to review quality reports and discuss performance trends.
  • Safeguard applicant information by maintaining confidentiality and following established data security protocols.
  • Collaborate with team lead associates and training staff to design, update, and enhance training materials and content for each application cycle.
  • Conduct quality audits of new hires’ application processing work, reviewing questions and performance, and provide constructive feedback to team lead staff to support development and ensure compliance with departmental standards.
  • Partner with the manager and team lead associates to plan, develop, and deliver lesson plans, job aids, and training resources required for document processing.
  • Monitor and evaluate the effectiveness of training initiatives, recommending improvements to strengthen learning outcomes and overall team productivity.
  • Maintain expert level knowledge of AMCAS and Fee Assistance policies and procedures.
  • Engage actively and contribute as needed to all projects, including discovery and requirements sessions and User Acceptance Testing.
  • Attend and participate in required and optional organizational meetings, events, and initiatives.
  • Additional duties to be defined are based on evolving operational needs, process improvements, or system modernization initiatives.
