About The Position

We are seeking a highly organized and detail-oriented Document Preparation Assistant to assist in supporting a major archival digitization project. Reporting to the Manager, Office Services, this role will play a key role in supporting the conversion of approximately 3,400 boxes of physical records into digital format, ensuring accuracy and completeness. This role focuses on hands‑on, detail‑oriented work such as organizing documents, removing fasteners, and ensuring all materials are “scan‑ready” for the Document Control team. There may be opportunities to provide occasional coverage for Document Control Specialists during vacations, sick days, or peak workload periods.

  • Comfortable with repetitive, hands‑on tasks
  • Reliable, organized, and able to work independently
  • Reliable, punctual, and committed to fulfilling the temporary contract to completion.

  • Experience with records, filing, or document handling is an asset but not required

Responsibilities

  • Prepare documents for scanning by removing staples, paper clips, bindings, and other fasteners
  • Sort, organize, and label files and bankers’ boxes according to established workflows
  • Ensure documents are in correct order and meet quality standards prior to digitization
  • Maintain accuracy and attention to detail while working with high volumes of physical paperwork
  • Support the scanning team by staging boxes and materials for efficient processing
  • Ability to work comfortably in a warehouse or records storage environment
  • Maintain a clean and organized workspace throughout the project
  • Maintain confidentiality and security of sensitive documents
  • Ability to lift, carry, and move bankers’ boxes (typically 30–40 lbs.)
  • Frequent standing, bending, reaching, and handling of physical files
  • Perform repetitive tasks comfortably, such as de‑stapling and sorting documents
  • Provide occasional backup support to Document Control as needed
