About The Position

Sanford Health is seeking a Document Imaging Technician to join their Health Information Management (HIM) team. This onsite role involves handling paper documents and scanning them into an electronic format. The position requires an understanding of patient confidentiality and the ability to uphold Sanford’s commitment to protecting privacy. Prior experience in a healthcare environment and knowledge of medical terminology are preferred. The role provides department assistance through various duties including scanning, data entry, copying, sorting, retrieving documents and medical records, chart pick-up, and other tasks. The technician will utilize a wide variety of office equipment, including copy and fax machines, telephones, and PCs.

Requirements

  • High school diploma or equivalent preferred.
  • Prior experience in healthcare environment and knowledge of medical terminology preferred.

Responsibilities

  • Utilizes scanning functions to capture images of original documents in the Sanford patient medical record and transfers them to the data management system or Electronic Medical Record (EMR).
  • Utilizes designated database for patient records to index and validate paper-based correspondence, electronic files, or scanned images.
  • Indexes all forms by searching the database for correct document type and assigning patient identifying information.
  • Communicates invalid forms and document types to leadership for inclusion in the database and/or reprinting of the form.
  • Uses the scanning software independently and can perform maintenance to equipment as needed.
  • Uses extensive knowledge of medical record forms and content to perform quality checks on the scanned, indexed and validated documents.
  • Performs quality assurance activities at various workflow intervals to ensure high-quality image capture.
  • Performs work in a timely manner with high attention to detail and accuracy.
  • Prepares medical record documentation for scanning (in HIM setting).
  • Locates, retrieves and routes records (in HIM setting).
  • Uses facility-specific software to determine record locations (in HIM setting).
  • Locates medical records for user requests within specified timeframes (in HIM setting).
  • Scans or imports images into data management system (in HIM setting).
  • Completes STAT fax workflows in a timely manner (in HIM setting).
  • Handles, receives, sorts, and sends mail to the individual who will scan into data management system (in PFS setting).
  • Creates mailing labels, affixes labels to mail, and sends mail (in PFS setting).
