About The Position

The Document Controller & Technical Writer will engage with internal customers to provide records management and related support to the business site. Responsibilities include a broad range of administrative and clerical functions and maintenance of records systems to support client records management operations while delivering high-quality customer service. A strong understanding of documentation types, systems, and processes is required to respond to more complex customer requests with accuracy and efficiency.

Requirements

  • 2-3 years customer service experience
  • 1-2 years records management experience with a proven ability to multi-task
  • Proficiency in Microsoft Office (Outlook, Word & Excel) and Internet navigation
  • Must have a mobile phone for security and multi-factor authentication
  • Experience with standard office equipment (i.e.; copier, scanner, fax, etc.)
  • Strong interpersonal skills
  • Effective written and verbal communication skills
  • Ability to alphabetize and prioritize work
  • Strong organizational skills with high attention to detail
  • Alpha-numeric data entry experience desired
  • Ability to work some overtime as needed
  • Ability to climb stairs, bend and reach for filing, lift up to 25 lbs. and walk 1/4 mile between libraries up to twice per day and from parking lot to facility
  • Must be able to work in environments where Vancomycin and Penicillin may be present
  • Must pass a background check and drug screening

Nice To Haves

  • College degree preferred
  • Experience with electronic document management systems a plus

Responsibilities

  • Provide documents and information to customers through online requests and in person interactions
  • Enter data for submitted records into the appropriate systems and maintain accurate and up-to-date databases of all documents and records
  • Track metrics and generate reports as needed and route and distribute documents to internal customers as assigned; update electronic document routes as requested
  • Support internal and external audits
  • Locate documents and consult with applicable document owners to identify library site periodic reviews, obtain information for updates and locate relevant documents as needed for applicable updates
  • Route requests to support training course and curricula creation, revision, and retirement: use learning request system to request changes to learning management system
  • Meet with internal library site and client personnel to review curricula and associated metadata
  • Maintain email organization to support review and approval processes for Periodic Review (PRs) and readily locate library site documentation as needed
