About The Position

The Document Imaging Clerk is a key member of the quality assurance team, responsible for converting physical records into high-quality digital formats. This role involves the entire lifecycle of document digitization, from physical preparation and high-speed scanning to indexing, quality assurance, and secure server uploads. The primary goal is to ensure that all digital records are accurate, searchable, and organized within the company’s Document Management System (DMS). The Document Imaging Clerk ensures that the company's quality system documentation (e.g., policies, procedures, work instructions, forms, records, etc.) is adequately controlled and maintained. Regular on-site attendance is required. Assist with any other duties as assigned by the Quality Assurance Manager.

Requirements

  • Minimum of 1 year of related experience; preferably in the aerospace manufacturing industry or other similarly regulated field (AS9100, ISO9000, etc.)
  • Experience with scanning software and document management systems.
  • Exceptional focus on accuracy to prevent filing errors or data loss.
  • Ability to manage large volumes of paperwork and track progress through multiple stages of the workflow.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic understanding of network file structures.
  • Must be able to sit for long periods and lift document boxes (typically up to 25 lbs).
  • Ability to work independently with minimal supervision to meet deadlines and to work collaboratively as needed in a fast-paced multi-shift manufacturing environment

Responsibilities

  • Sort, batch, and prepare hard-copy records for scanning (e.g., removing staples, repairing torn pages, and ensuring correct chronological order).
  • Operate scanning equipment to digitize various document types, including standard files.
  • Assign accurate file names, tags, and metadata to scanned images to ensure they are easily retrievable on the company server.
  • Review digital images for clarity, completeness, and orientation. Perform rescans as necessary to meet quality standards.
  • Input relevant information from physical documents into databases or tracking logs with speed and accuracy.
  • Organize and upload files into designated network folders or cloud-based storage, adhering to established naming conventions and security protocols.
  • Coordinate the secure shredding or archiving of physical documents once the digitization process is verified and complete.
  • Ensure that the company's quality system documentation (e.g., policies, procedures, work instructions, forms, records, etc.) is adequately controlled and maintained.
