About The Position

The Manufacturing Document Specialist will achieve accurate and timely completion of document reviews submitted by our production, quality, maintenance, and warehouse teams. Furthermore, the Document Specialist is expected to work with internal audiences as a single point of contact to maintain a document register for storing, updating, and organizing internal records, procedures, and necessary documentation.

Requirements

  • Bachelor’s degree in Food Science, Business Communication, or related fields/or a minimum of three years related experience and/or training; or equivalent combination of education and experience.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Provide leadership to others through example and sharing of knowledge/skill.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to prioritize tasks, handle multiply projects simultaneously and delegate assignments to others.
  • Comply with all safety policies, practices and procedures. Report all unsafe activities to supervisor and/or Human Resources.
  • Participate in proactive team efforts to achieve departmental and company goals.

Responsibilities

  • Executes the timely completion on a variety of requests for records and procedures of products, processes, & system information regarding the portfolio of products manufactured.
  • Act as a single point of contact for all manufacturing QA document requests – product document packets, facility document packets, and product certifications.
  • Follow prescribed document review schedules to see that relevant policies, procedures, and statements are frequently updated to meet changing policy, regulatory, and customer needs so as to ensure that only the most current and relevant information is available.
  • Support and lead processes involved in archiving and destroying of all non-HR & Accounting documents stored on site in compliance with Quality Policy Standards. Maintain current documentation on SharePoint and other dedicated software.
  • Communicate efficiently both verbally and in written form.
  • Translate complex technical details in order to determine and perform specific actions including process change management (MOC) to meet customer requirements as needed.
  • Assist the Production Quality Assurance Supervisor and QA Manager in the creation of new product documentation.
  • Help maintain and audit product certifications, specifically in regards to Kosher, Halal, and Organic products. Remove items that are unnecessary or discontinued.
  • Work with all relevant Glanbia departments to support the review and approval of all key documents required for the commercialization of new products (i.e. bag labels).
  • Develop and publish quality performance status reports and track Quality KPIs as assigned.
  • Perform periodic reviews of customer requirements in regards to COAs, and review existing SAP structure to ensure parameters are aligned with customer needs.
  • Act as a second quality lead when needed.
  • Perform other duties as assigned.
