We are seeking talented Document Control Specialist to join our dedicated team at our office located in Albany, NY. In this role, you will manage the storage and transmission of project documents produced by Springtide, Springtide's clients, and Springtide's vendors, subcontractors, and consultants.

Requirements

  • High School Diploma or equivalent.
  • 5+ years of document control experience in the A/E/C, semiconductor, manufacturing industry.
  • Must be able to stand, sit, and walk for prolonged periods.
  • Must possess the ability to stoop, kneel, crouch, and crawl as required.
  • Must be able to lift and move objects weighing up to 25 pounds.
  • Must be able to work in both indoor and outdoor environments, which may include exposure to varying working conditions.
  • This position will have 5-20% travel, or as required by the assigned project.
  • Position may be assigned to a client site for an extended period.
  • Overnight travel or staying in the city of the Client’s location is possible, depending on the assignment.
  • You will visit Client sites and will be required to adhere to stated safety rules.
  • Must have access to reliable transportation.
  • Must have the ability to travel and commute on a daily or routine basis.
  • This position is a safety-sensitive position.
  • The employee is designated for field work and attends activities at client sites where they work in construction, process, packaging, manufacturing, research or other "non-administrative" areas.
  • All interviews are conducted either in person or virtually, with video required.

Responsibilities

  • Ensure compliance with corporate document conventions, including numbering and approvals.
  • Ensure compliance with project-specific document conventions, including numbering, approvals, distribution lists, and quality assurance requirements.
  • Work with Project Managers to establish document distribution plans for each assigned project.
  • Maintain document distribution systems and schedules for assigned projects based on client, project, and contractor requirements.
  • Expedite review, approval, and distribution of supplier and internally produced project documents.
  • Establish and maintain paper and electronic files for the assigned project per corporate requirements.
  • Establish and maintain electronic indices of project documents.
  • Generates reports to meet project requirements.
  • Support the preparation of transmittals for engineering and procurement documents.
  • Arrange cataloging, packaging, long-term storage, and disposal of project documents at the time of project closeout.
  • Attend project coordination meetings as required.
  • Provide status of engineering documents, procurement documents, and submittals as requested by project and design managers.
  • Maintain personal competency in relevant professional areas.
