About The Position

Amentum is seeking a Document Control Specialist to support the Camp East Montana contract in El Paso, TX. The Document Control Specialist assists with the retention and filing of documents to ensure compliance with corporate and US government document control and retention requirements. This role involves inventorying documents, categorizing records, and troubleshooting processes to ensure adherence to Standard Operating Procedures (SOP). The specialist will file and retrieve documents for efficient storage and accessibility, and is responsible for preparing, scanning, and quality checking documents for conversion to electronic format. They will determine appropriate scanner settings, respond to requests for documents, and maintain the confidentiality and security of information. Other qualified duties may be assigned.

Requirements

  • Five (5) years’ experience in contracts, business and/or finance/accounting environment.
  • Demonstrates proficiency in Microsoft Office applications.
  • Good organizational skills.
  • Basic knowledge of office machinery such as copier and scanner.
  • Good communication and people skills.
  • Knowledge of alphabetical and numerical filing systems.
  • Must be able to obtain and maintain facility credentials/authorization.
  • US Citizenship is required for facility credentials/authorization at this work location.

Nice To Haves

  • Knowledge of in-house scanning system products, policies and procedures preferred.

Responsibilities

  • Assists with retention and filing of documents as required for compliance with all corporate and US government document control and retention requirements.
  • Inventories receiving and returning documents to verify all documents that coincide with audit sheet.
  • Categorizes records and stores them in alphabetical or numerical sequence or a combination of both.
  • Troubleshoots and analyzes processes and procedures used to ensure compliance with Standard Operating Procedures (SOP).
  • Files and retrieves documents that allow for efficient storage and accessibility for a large number of records.
  • Responsible for preparing, scanning, and quality checking of documents/images being converted to electronic/digital format.
  • Determines appropriate scanner and scanner settings based on document type, planned processing and document characteristics.
  • Responds to requests for items by locating and retrieving files and delivering the documented transaction.
  • Maintains confidentiality and security of information.
  • Perform other qualified duties as assigned.
  • Continuously developing and maintaining a safe work environment.
  • Completing all training requirements and fulfilling all self-aid/buddy aid responsibilities, participating in emergency response tasks and serving on safety committees and teams.
  • Conform to the Amentum Quality Policy and carry out job activities in compliance with applicable Amentum Quality System documents and customer contracts.
  • Read and understand his/her Quality Management and Customer Satisfaction responsibilities.
  • Read, understand, and implement the general and specific operational, safety, quality and environmental requirements of all plans, procedures and policies pertaining to job.
