About The Position

Miller Industries is seeking a Document Control Coordinator for their north location in Fenton, Michigan. This role involves maintaining and administering the company's controlled document system across multiple manufacturing locations. The responsibilities include controlling the issuance, revision, distribution, and archiving of various documents such as procedures, work instructions, quality manuals, forms, templates, drawings, specifications, inspection records, welding documentation, and customer documents. The coordinator will ensure only current approved revisions are available and remove obsolete documents. Additionally, the role supports the Integrated QMS, ensuring documentation complies with AISC and ISO quality system requirements, customer requirements, and internal company standards. The position also involves maintaining records for welder qualifications, WPS, PQR, material traceability, inspection and test reports, nonconformance reports, and corrective action records, ensuring all documentation is audit-ready. Support for internal, customer, and third-party audits, including preparing requested documentation and assisting with corrective actions, is also a key function. The role requires cross-functional coordination with engineering, production, project management, and quality teams to ensure proper document flow and approvals, and to assist employees in locating controlled documents. Data management and reporting, including maintaining electronic and hard-copy filing systems, tracking revisions, and generating reports on document control metrics, are also part of the duties. Support for the implementation and maintenance of electronic document management systems (EDMS) is expected.

Requirements

  • Associate degree or technical training preferred.
  • Equivalent document control or administrative experience may be considered.
  • Minimum 2–5 years of experience in document control, quality administration, or records management.
  • Experience in manufacturing, fabrication, construction, or industrial environments preferred.
  • Experience working within quality management systems preferred.
  • Experience supporting AISC or ISO systems preferred.
  • Working knowledge of document control systems and practices.
  • Working knowledge of Quality Management Systems (QMS).
  • Working knowledge of revision control processes.
  • Working knowledge of manufacturing documentation.
  • Working knowledge of engineering drawings and specifications.
  • Working knowledge of electronic document management systems (EDMS).
  • Working knowledge of Microsoft Office applications.
  • Proficient computer and data entry skills.

Responsibilities

  • Maintain and administer the company’s-controlled document system across multiple manufacturing locations.
  • Control issuance, revision, distribution, and archiving of procedures, work instructions, quality manuals, forms and templates, drawings and specifications, inspection records, welding documentation, and customer documents.
  • Ensure only current approved revisions are available for use.
  • Remove obsolete documents from circulation and maintain archived records.
  • Support the Integrated QMS by maintaining document control processes and records.
  • Ensure documentation complies with AISC certification requirements, ISO quality system requirements, customer requirements, and internal company standards.
  • Assist with creation, formatting, numbering, and revision of controlled documents.
  • Maintain document retention schedules and quality records.
  • Maintain records associated with welder qualifications, Welding Procedure Specifications (WPS), Procedure Qualification Records (PQR), material traceability documentation, inspection and test reports, nonconformance reports, and corrective action records.
  • Ensure documentation is audit-ready and easily retrievable.
  • Support internal, customer, and third-party audits by preparing requested documentation and records.
  • Assist the Quality Manager with audit preparation and corrective action documentation.
  • Maintain audit logs and document change histories.
  • Coordinate with engineering, production, project management, and quality teams to ensure proper document flow and approvals.
  • Distribute updated drawings, specifications, and procedures to applicable departments and facilities.
  • Assist employees with locating controlled documents and records.
  • Support implementation of standardized document control practices across all company locations.
  • Maintain electronic and hard-copy filing systems.
  • Track document revisions and approval status.
  • Generate reports related to document control metrics, overdue approvals, and revision tracking.
  • Support implementation and maintenance of electronic document management systems (EDMS).
