About The Position

Trove Nutrition, a subsidiary of Trove Brands, is seeking a Document & Change Control Officer to own the cross-communication of changes to documentation, processes, ingredients, packaging, etc., to the team and partners by managing timelines and documentation. This individual will set policy, standards, and have the authority to enforce compliance across departments. This is a senior role for someone to build the system and work with department heads to ensure all key stakeholders are aligned on change control processes.

Requirements

  • 4-6+ years of experience in document control, change control, or quality systems, ideally within food, beverage, nutrition/supplement, or other regulated consumer packaged goods manufacturing.
  • Demonstrated ownership of a document control or change control system end-to-end, including setting policy and enforcing compliance.
  • Working knowledge of good manufacturing processes and food safety system frameworks (SQF, BRC, or similar) as they relate to documentation and change management.
  • Direct experience managing bill of materials, specifications, formulas, certificate of analysis, artwork, and related product documentation.
  • Comfort in exercising independent judgment to resolve and/or escalate when something does not meet requirements.
  • Strong cross-functional influence, with the ability to drive approvals and keep multiple stakeholders (R&D, Quality, Purchasing, Brand, Regulatory) aligned.
  • Excellent organizational skills and high attention to detail; comfortable managing a high volume of documents across multiple systems.
  • Proficiency with SharePoint or a similar document management system; strong general Excel/Office skills.
  • Bachelor's degree preferred, or equivalent combination of education and experience.

Nice To Haves

  • Relevant certification (e.g., ASQ, change management) a plus.

Responsibilities

  • Update, format, and maintain product documentation (specifications, formulas, bill of materials, labels, certificate of analysis, and supplier documents), and serve as the final stage gate on the current, approved version of each.
  • Log and review proposed product and process changes, route them to the appropriate functions (R&D, Quality, Purchasing, Brand, Regulatory), and hold any change that does not meet defined requirements.
  • Align execution schedules to prevent conflicting updates with the overarching goal to minimize business interruptions.
  • Define and formalize company-wide document and change control policy, standard operating procedures, and standards.
  • Partner with R&D, Brands, Purchasing/Vendor Management, and Project Development to eliminate duplicate data entry, assist in removing discrepancies and closing the gaps that can cause delays.
  • Keep files organized, searchable, and current for audit or for teams to reliably find the correct information.
  • Maintain visibility into open changes, pending approvals, and document control metrics and proactively flag systemic issues.
  • Act as the go-to authority on document and change control procedures with the intent of helping teams adopt standardized processes.
