About The Position

Baystate Health’s Health New England is seeking a full-time Document Center Specialist to join the Computer Operations and Document Center team in Springfield, MA. This hands-on role combines print production, mail processing, document preparation, equipment support, and customer service in a fast-paced environment. In this role, you’ll work closely with internal customers and external vendors to coordinate projects from design and production through final distribution, while ensuring quality, accuracy, and deadlines are consistently met.

Requirements

  • High school diploma or equivalent.
  • 3+ years of related experience.
  • Knowledge of production printing and mailing processes.
  • Knowledge of U.S. Postal Service regulations and rates.
  • Proficiency with Microsoft Office Suite and Windows.
  • Strong analytical, problem-solving, organizational, and project management skills.
  • Excellent communication, interpersonal, and negotiation skills.
  • Ability to manage multiple priorities while following detailed procedures.
  • Valid driver’s license required.

Nice To Haves

  • Experience with one or more of the following: Adobe, InDesign, PitStop, Fiery, Command WorkStation, PlanetPress, or FusionPro.

Responsibilities

  • Plan and coordinate high-volume print and mail production.
  • Partner with customers on the design, production, and distribution of printed materials.
  • Operate high-volume printers and perform binding, finishing, document preparation, inspection, and assembly.
  • Use production software such as Adobe, InDesign, PitStop, Fiery, and/or Command WorkStation.
  • Maintain production schedules and organized workflows to meet deadlines and minimize errors.
  • Process outgoing USPS, UPS, and FedEx mail, including certified and bulk mailings.
  • Operate file-based mailing systems and ensure 2D barcode files are processed accurately.
  • Operate and maintain mail processing equipment, including mail inserters, addressers, and Paragon equipment.
  • Coordinate special projects and large-volume mailings with internal customers and external vendors.
  • Maintain postal accounts, mailing permits, and postage balances.
  • Process, scan, and distribute incoming mail to appropriate departments.
  • Distribute print materials and mail to employees and designated locations.
  • Provide backup support to the scanning function.
  • Inspect and troubleshoot convenience copiers to ensure quality and reliability.
  • Maintain supply inventories and records for management reporting.
  • Perform routine equipment maintenance and communicate service needs promptly.
  • Provide reception and general office support as needed.
  • Create employee ID badges and provide coverage for Print Production Coordinators.
  • Prepare and barcode Amisys output for mailing.
  • Manage associate assignments in Uniflow.
  • Respond to and coordinate equipment service calls.
  • Partner with Office Services to support inventory and fulfillment needs.
  • Track and post department metrics to SharePoint.
  • Communicate operational issues effectively and promptly to management.
