About The Position

The mission of this position is to contribute to the success of Rusnak Automotive Group (the Company) by successfully handling the processes and record retention related to all DMV based transactions.

Requirements

  • Three (3) years minimum related and progressively responsible experience.
  • High School Diploma or GED

Nice To Haves

  • Five (5) years’ related and progressively responsible experience.
  • Automotive experience preferred

Responsibilities

  • On a daily basis, exclusively accountable for processing DMV for all of Rusnak locations; Anaheim, Arcadia, Pasadena and Westlake.
  • Process all new and used car vehicle registrations.
  • Verifies correct fees have been collected and remitted to DMV.
  • Submits all legal transfer work to the DMV making every effort to properly submit each application correctly the first time and to avoid any penalties from being charged to the dealer.
  • Mails 5 day notices on a timely manner.
  • Maintains accurate DMV log book accounting for all issued report of sales.
  • Reconciles DMV bundles and generates refunds and notifies Management if billing is necessary to clients.
  • Maintains an accurate and current filing system for all plates in inventory, bundles, report of sales and company vehicles.
  • Responsible for DMV renewals, DMV mail information and parking violations.
  • Maintains the accuracy of vehicle records in the ADP Vehicle database.
  • For Enterprise, Company vehicles and service loaners; issue the registration and license plates.
  • Updates management team and appropriate staff when changes relating to DMV occur.
  • Monitors that dealership is complying with all appropriate regulations and laws in the daily operations of the business.
  • Assists with DMV reviews and audits.
  • Monitors ASF fees and strives to reduce any fees assessed to the company.
  • Once a month, reviews DMV schedules and submits to management.
  • Communicates to store’s management on smogs, vehicle verification and any other document needed to process DMV.
  • Reviews DMV desk emails and reporting to comply with timely registration submissions.
  • Oversees the inventory movement of the report of sales for each location.
  • Maintains title records for the dealership.
  • Reports to management regularly as to the status of any missing, problem or salvaged titles that are outstanding.
  • Maintains systems for out of state titles and smog requirements.
  • Verifies that all funds have been collected and correct lien holder was paid prior to processing title applications.
  • Maintains the highest level of customer service when interfacing with clients regarding title concerns.
  • Communicates effectively with clients and associates, in order to resolve potential problems from arising and to adhere to “Rusnak Standard.”
  • Maintains title reconciliation on a monthly basis.
  • Works with Nationwide to process out of state titles.
  • Learns and maintains active working knowledge of the DMV Associate job duties and provides back-up support to all stores as required.
  • Strives to increase knowledge base on DMV.
  • Pursues ways to improve our processes.
  • Seeks out opportunities to enhance personal communication utilizing our email system.
  • Maintains vehicle verifiers license to assist our stores management team in keeping our inventory current with vehicle verifications needed.
  • Maintains a strong “Client-Centric” vision and utilizes “The Rusnak Standard,” best core practices, as well as professional and exemplary service to provide every internal and external Client with an extraordinary experience during every encounter.
  • Actively listens and communicates, verbally and in writing, in a courteous, professional, clear, concise, and correct manner to identify Client needs beyond expressed concerns.
  • Responds in a timely, courteous, welcoming and professional manner with a “consultative, value-added” approach to secure Client understanding and develop stronger business relationships and increase future.
