About The Position

European Service at Home, Inc. is seeking a dedicated DME Coordinator Assistant to serve as the foundational support system for our Durable Medical Equipment (DME) department. In this entry-level role, you aren’t just handling paperwork; you are the essential help desk for our execution layer. By stepping in to support both our DME Operations Coordinator and our DME Intake and Logistics Assistant, you ensure that our daily operations run seamlessly. The Mission: You are responsible for keeping the department running like clockwork. This means proactively managing high-volume documentation retrieval, assisting with vital patient coverage verifications, and helping coordinate the physical delivery of equipment. You will work at the heart of our operation, taking daily workflow direction from our lead coordinators so they can focus on complex clinical triage and processing.

Requirements

  • High school diploma or equivalent (required).
  • Exceptional English verbal and written communication skills are required.
  • Must possess a valid driver’s license and current vehicle insurance.

Nice To Haves

  • Previous experience or successful completion of training for Durable Medical Equipment is preferred.
  • Experience or a strong willingness to learn DMEWorks, HFS portals, and the NPPES registry is highly desired.
  • Proficiency in additional languages is a major plus.

Responsibilities

  • Serve as the welcoming face for walk-in patients, manage over-the-counter (OTC) retail sales, and field incoming calls with an empathetic, patient-first approach.
  • Support the "Sales Leads" pipeline by accurately entering patient demographics, insurance details, and physician data into our customer management software.
  • Proactively calling physician offices to secure missing signatures, prescriptions, and clinical notes to keep our documentation tracking log up to date.
  • Help conduct daily primary eligibility verifications using Recipient Identification Numbers (RIN) and National Provider Identifiers (NPI) via HFS/MEDI websites.
  • Assist with the monthly patient resupply program by contacting patients to confirm "Continued Need" and setting up correct 30-day replenishment cycles.
  • Help coordinate the end-to-end patient supply cycle by overseeing shipment tracking and validating that Proof of Delivery (POD) documentation is signed and securely uploaded.
  • Gather the necessary clinical documentation to help the coordinator assign accurate HCPCS billing codes and ICD-10 diagnostic codes for clean claim submissions.
