About The Position

Join the College of Letters & Science (L&S) for an exciting new role as a Divisional Research Admin Manager. You'll have an opportunity to make a positive impact by providing general research admin and finance support and lead a team of research and finance administrators assigned to L&S units. L&S has a new structure to address the needs of Workday and our units. Research admin (RA), HR, and finance are organized into Administrative Regional Teams (ARTs) that report centrally to L&S admin, while serving L&S departments and centers. This position will head the RA and finance staff in L&S ART 1. Reporting to the Assistant Dean for Research Services and as part of the Research Services team, the Divisional Research Admin Manager will include the following key functions: Support the research admin needs of the units being served by leading the ART 1 RA Team, collaborating with faculty researchers, dept and center admins, other ART managers and staff, and the L&S Divisional Pre-Award Team. In partnership with the Associate Dean for Innovation and Strategic Budgeting, support the finance needs of ART 1 units and lead the Finance ART 1 team, including finance initiators and cost center managers. Train, supervise, and evaluate team members, as well as assign them work and grant and budget worktag roles. Serve as a Workday subject matter expert and a key point of contact for departments and division administrators. Collaborate with the Assistant Dean for Research Services and Associate Dean for Innovation and Strategic Budgeting to plan training, communication, and documentation of L&S Workday procedures and policy. Assist in assessing and improving our ART structure, policies, and services to best meet the needs of L&S departments and centers. Following an initial onboarding period, this position will have remote work flexibility up to 3 days per week and will work onsite a minimum of 2 days per week.

Requirements

  • One year research admin experience, preferably in higher education
  • Experience supervising and training employees
  • Ability to use strong analytical skills to accurately interpret and analyze financial data and effectively communicate summarized results
  • Ability to foster and maintain collaborative effective relationships with chairs/directors, supervisors, staff and campus partners
  • Demonstrated commitment to customer service excellence and a history of offering collaborative, responsive, and solution-oriented assistance
  • Ability to use sound judgement and discretion in applying and interpreting laws, rules, policies, and procedures
  • Excellent administrative and organizational skills, including identifying and solving problems both independently and collaboratively, prioritizing and delegating tasks, managing competing deadlines, and paying attention to detail

Nice To Haves

  • 2 or more years of RA experience, preferably in an institute of higher education
  • Experience working with or leading a team that is responsible for financial data and/or budget generation
  • Possess a leadership style that is collaborative, fosters innovation, and supports team development and success
  • Experience offering guidance, outreach and monitoring for compliance regarding complex research admin and/or fiscal policies in higher education, governmental or other highly regulated setting
  • Experience with improving processes, managing change and/or applying systems thinking to work

Responsibilities

  • Co-develops, documents, and communicates L&S Workday policies and procedures; plans Workday-related meetings and events
  • Reviews and approves programmatic transactions spanning the life-cycle of sponsored projects to ensure compliance with institutional and/or sponsor policies and procedures
  • Executes activities related to proposal submission, contract negotiation, and/or award setup on behalf of a unit
  • Executes activities related to financial compliance, audit, or reporting on behalf of a unit
  • Executes research administration operational policies and procedures including financial, administrative, staffing, and compliance on behalf of a unit
  • Serves as a key resource to leadership and staff in the unit as well as a liaison to partners and stakeholders
  • Provides training to faculty, staff, and/or administrators within the unit regarding policy, procedure, and/or execution of sponsored project administration
  • May supervise the day-to-day activities of research administration staff
