Responsible for providing a wide variety of complex and confidential administrative and secretarial support to the assigned administrator(s); conveying information regarding department functions and procedures; ensuring efficient operation of support functions; and coordinating assigned projects and site activities. This role involves performing a variety of complex office and clerical work independently, acting as the primary office support for administrators at the department level or equivalent. Duties include word processing, financial recordkeeping, scheduling, calendaring, and arranging meetings. The position requires dealing with non-routine matters, exercising judgment and independent thinking to anticipate needs, and maintaining effective communication with leaders, staff, and third parties. Ensuring timely office support, adequate supplies, and well-maintained equipment are also key responsibilities. The role requires understanding system-wide, departmental, and divisional organizations, as well as applicable policies and procedures. Responsibilities include researching, compiling, creating, and distributing reports, initiating actions to keep supervisors and staff informed, and answering inquiries regarding programs and services. Maintaining confidentiality, office supplies, and processing time and attendance are also part of the role. The secretary will also maintain and reconcile budget accounts, greet visitors professionally, communicate effectively with various stakeholders, manage telephone systems, coordinate events and meetings, and maintain an organized workspace. Participation in meetings, trainings, and workshops, and supporting building safety procedures are also expected.
