About The Position

The Distribution Royalty Allocation Administrator supports the end-to-end domestic royalty distribution process by validating and analyzing royalty allocations to ensure accuracy across markets. This role is responsible for identifying and resolving discrepancies to ensure accurate and timely payments to Reproduction Rights (RR) members.

Responsibilities

  • Manage held funds process
  • Management of royalties owing related to foreign debit/credit pending
  • Research, document, reconcile financials and prepare adjustment paperwork to rectify distribution errors
  • Determine priority for resolving outstanding issues/backlog
  • Verification of anomaly results and updating/correcting incorrect usage matches
  • Updating record types, share splits and allocation of income to members for payment
  • Handling Membership Returns Corrections and any other requests from Membership to maximize foreign income to members and accuracy of payment
  • Maintaining the Watch-For list and ensuring associated items have been reviewed and corrections completed
  • Tracking incoming foreign payments and foreign performance data, including the reconciliation of debits, credits, foreign domestic returns, and Pay Directs
  • Actively monitoring quarterly timelines for receipt of files and payments for all Foreign Society Distributions to avoid delays in processing, and meeting SLA’s based on Tiers 1, 2 and 3
  • Reconciliation of Invoices to Foreign Society Distributions and Files
  • Daily Foreign Distribution file retrieval from Foreign PRO’s via SOCAN’s FTP site or Foreign FTP sites
  • Identification and documentation of possible improvements to business procedures and related processes
  • Establishing and updating Policies and Procedures relative to the processing of the relevant accounts (and ensuring adherence to policy by Distribution staff)
  • Regular communication and liaison with Foreign Societies and internal stakeholders to ensure processes and activities are running smoothly and meeting timelines
  • Updating repertoire/agreements as required
  • Acting as subject matter expert in relation to returned royalties activities (including CISAC-related initiatives)
  • Providing guidance on Foreign Suspense Processes
  • Managing activities related to the handling of Canadian Members Conflict, Reversionary Rights/Litigation/Foreign Domestic Returns
  • Other duties as required
