About The Position

The San Diego Clinical Supply Services Distribution Coordinator 1 is responsible for the coordination, processing, and auditing of clinical supply orders, supporting both domestic and international distribution activities. The role ensures accurate and timely execution of order processing, shipment coordination, and documentation management in alignment with customer requirements, approved Distribution Summaries (DS), and internal procedures. Requirements

  • HS Diploma/GED required
  • minimum of 3 years of relevant industry experience
  • high-level attention to detail while managing multiple projects and/or priorities under tight deadlines
  • Strong computer skills are required – (including, but not limited to, Microsoft Word, Power Point, and Excel)
  • Excellent written, verbal, and interpersonal communication skills are required.
  • Ability to understand and process written and verbal instructions effectively.
  • Demonstrate strong analytical skills and problem-solving skills

Nice To Haves

  • Associates Degree preferred
  • Distribution and Supply Chain experience is preferred.

Responsibilities

  • Manage shared inbox to triage, prioritize, and respond to order-related requests in alignment with defined turnaround expectations
  • Maintain and organize Ready-to-Execute (RTE) files and associated documentation to ensure orders are prepared for shipment execution
  • Process and coordinate domestic clinical supply orders in accordance with customer requirements and internal SOPs.
  • Process and coordinate international orders (e.g., Canada, Puerto Rico, Australia), ensuring compliance with shipping and documentation requirements
  • Coordinate and dispatch shipments of clinical trial materials to domestic and applicable international sites
  • Log, document, and route supplier complaints and shipment-related issues (e.g., FedEx and specialty carriers) using designated systems (e.g., SharePoint)
  • Create and maintain just-in-time labeling worksheets to support accurate and timely shipment execution
  • Perform Master Checklist (MCL) updates and maintain alignment with customer-approved Distribution Summaries (DS) to support compliant shipment execution
  • Audit order documentation for accuracy against customer requests and source documentation
  • Ensure proper documentation and compliance for international shipments, including customs requirements where applicable
  • Monitor workflow efficiency and escalate risks to turnaround times or service levels as appropriate
  • Cross-train on warehouse floor operations and obtain and maintain DSI scanning system access to perform picking and packing activities as a back-up resource during periods of increased demand or staffing constraints
