About The Position

The ideal candidate is detail-oriented, customer-focused, and comfortable balancing multiple priorities while supporting technicians, customers, and internal teams to deliver an exceptional service experience.

Requirements

  • Previous experience in dispatching, scheduling, or service coordination within a fast-paced environment
  • Strong organizational, communication, and multitasking skills with the ability to manage competing priorities throughout the day
  • Ability to work effectively across multiple teams while maintaining accuracy and attention to detail
  • Proficiency in Microsoft Outlook, Excel, and other business systems or scheduling platforms
  • Strong customer service and problem-solving skills with the ability to remain calm and professional under pressure
  • Ability to manage technician scheduling, work order processing, and customer communication simultaneously
  • Ability to remain in a desk-based environment for extended periods while managing high communication volume

Nice To Haves

  • Associate’s or Bachelor’s Degree
  • Working knowledge of the Maryland, Virginia, West Virginia, and Washington D.C. service areas preferred
  • Mechanical aptitude or experience with service management platforms such as EquipSoft is a plus

Responsibilities

  • Manage incoming service requests, emails, and electronic work orders to support efficient scheduling and timely response for service technicians
  • Monitor and respond to Crown E-Orders and customer service requests in alignment with service level agreements and company expectations
  • Coordinate technician schedules, dispatching, and work assignments to maximize efficiency and ensure customer needs are met
  • Manage technician work-in-progress (WIP), ensuring open work orders are reviewed, updated, and resolved in a timely manner
  • Review and process work orders throughout the day, verifying labor, parts usage, and billing accuracy while collaborating with field service managers and the parts team as needed
  • Handle incoming service calls by verifying account information, collecting purchase orders or payment details, confirming equipment information, and scheduling service appointments
  • Communicate critical job details, customer expectations, and scheduling updates to technicians prior to dispatch
  • Support the quoting process by coordinating with road technicians and the parts department to prepare and submit repair quotes within established timelines
  • Coordinate planned maintenance scheduling, including setting up new PM agreements, assigning monthly PM schedules, and communicating with customers regarding upcoming service appointments
  • Collaborate with the parts department to ensure technicians have the necessary materials and resources prior to dispatch
  • Maintain accurate daily reporting and scheduling updates to support operational visibility and team communication
  • Partner with fellow dispatchers and service team members to ensure coverage, continuity, and responsiveness during high-volume periods, absences, and holidays
  • Provide exceptional customer service by maintaining professional, timely, and solution-oriented communication with customers and internal teams
  • All other responsibilities/duties as assigned
