About The Position

The Dispatch position is responsible for the answering of incoming customer calls and identifying the needs of customers while being the first line of order entry for the transportation operations. The Dispatcher is responsible for scheduling and dispatching all trucks as well as processing customer tickets and completing customer reports as necessary. In addition, the position requires administration, recording and reporting of daily office activities.

  • Knowledge of DOT rules, regulations and safety requirements

Responsibilities

  • Answer main phone line and assist customers with questions and placing orders
  • Scheduling and dispatching all trucks by determining the most effective routes
  • Build sustainable relationships and trust with customer accounts through open and interactive communication
  • Answer questions for customers regarding services and procedures
  • Handle customer complaints, provide appropriate solutions and alternatives and follow up to ensure resolution
  • Report any/all issues to management on a daily basis (employee or customer complaints, requests or questions, accidents, injuries, etc.)
  • Provide accurate, valid and complete information by using the right methods/tools
  • Keep records of customer interactions, process customer accounts and file documents
  • Follow communication procedures, guidelines and policies
  • Perform order entry into dispatch software
  • Maintain customer database, including pricing, in dispatch software
  • Ensure customer price sheet is followed
  • Complete customer reports and reconciliation as assigned
  • Assist and back up scale as needed
  • Assist with additional tasks such as inventory control and account maintenance
  • Ensure compliance with company policies and procedures.
  • Ensure compliance with government rules and regulations and files. paperwork in support of this compliance as needed
  • Communicate in a professional manner
  • Performs other related duties as assigned
