About The Position

The Dispatcher is responsible for the execution and coordination of daily dispatch operations, ensuring that personnel, equipment, and resources are deployed efficiently and in alignment with established operational plans and standards. This role requires the ability to independently coordinate logistics, manage real-time operational changes, and ensure accurate documentation and communication across multiple stakeholders.

Requirements

  • 2+ years of dispatching, logistics, or related experience
  • Familiarity with crane operations or heavy equipment environments preferred
  • Working knowledge of crane operations, equipment capabilities, and terminology to support effective dispatch coordination
  • Knowledge of logistics principles, scheduling techniques, and routing to support efficient daily operations
  • Familiarity with safety requirements, permits, and certification standards to ensure compliance in dispatch activities
  • Effective verbal and written communication skills to coordinate with field personnel, clients, and internal teams
  • Ability to address scheduling conflicts, equipment issues, and operational changes in real time
  • Strong ability to manage multiple tasks, prioritize dispatch requests, and maintain accurate records
  • Ability to adjust to changing schedules, job requirements, and field conditions while maintaining efficiency
  • Ability to remain calm and effective in fast-paced, high-demand environments
  • Proficiency in dispatch systems (e.g., NexGen), GPS tools, and related software to support daily operations
  • Ability to work effectively with field crews, safety teams, and internal departments to ensure smooth job execution
  • Ability to maintain accuracy in scheduling, ticket coding, and documentation
  • Ability to recognize issues and escalate appropriately to the Senior Dispatcher

Responsibilities

  • Develop and execute daily dispatch schedules based on job requirements, operational priorities, travel time, and applicable legal or regulatory requirements.
  • Assign cranes, operators, oilers, and support personnel to scheduled work, considering location, equipment availability, project timelines, and resource needs.
  • Coordinate equipment movements, trucking, transportation, and job site logistics to support timely job execution.
  • Use GPS and related dispatch tools to plan equipment movements, optimize utilization, and minimize downtime.
  • Adjust schedules in real time to address operational changes, equipment issues, delays, and other constraints.
  • Coordinate alternative plans when equipment issues, unexpected delays, or other unforeseen challenges arise.
  • Coordinate with field personnel, Fleet Manager, sales team, vendors, and other stakeholders to ensure equipment readiness and job execution.
  • Arrange third-party vendors and services in accordance with established guidelines.
  • Request and manage permits, maps, lift plans, and other required job documentation.
  • Issue or coordinate field equipment, transportation, purchase order requests, and outside vendor support as needed.
  • Create purchase orders for necessary daily travel permits and annual permits.
  • Coordinate re-rent equipment as directed by Field Ops Manager.
  • Accurately code and process job tickets in dispatch systems.
  • Maintain up-to-date records of job activity, dispatch activity, equipment usage, equipment availability, and personnel assignments.
  • Prepare and distribute complete dispatch packets for crews, including permits, lift plans, maps, and supporting documentation.
  • Confirm rigging requirements and related materials are loaded or otherwise ready for the following day's work.
  • Import job orders into NexGen as needed.
  • Update and maintain data within NexGen and related systems.
  • Convert quotes and proposals from Salesforce into NexGen jobs as required.
  • Generate reports on job completion, equipment utilization, and other relevant operational metrics as requested.
  • Serve as a central communication point between field operations, sales, clients, vendors, and internal teams.
  • Provide timely updates regarding job status, delays, and scheduling changes.
  • Maintain clear and consistent communication with field personnel and other stakeholders throughout daily operations.
  • Escalate conflicts, constraints, resource limitations, safety concerns, or other operational issues to the Senior Dispatcher or appropriate department.
  • Ensure dispatch activities comply with company policies, safety standards, regulatory requirements, and applicable permit requirements.
  • Collaborate with the Safety team to address safety concerns or incidents promptly.
  • Support tracking and coordination of certifications and required documentation.
  • Work with Safety to help manage Operator, Oiler, and Ironworker certifications and documentation, including Medical DOT, CDL, operator certification, and Impact requirements.
  • Maintain accuracy in scheduling, ticket coding, job records, permits, and related documentation.
  • This position will initially support operations out of the Orange branch, with the expectation of partial and eventual full-time support at the San Bernardino branch once fully trained and up to speed on dispatching and internal processes.
  • Assist with maintaining an organized and efficient San Bernardino office, including filing, documentation control, and general administrative support.
  • Manage and maintain equipment schedule for gear moving in and out of SB yard.
  • Support purchasers with POs and service requests, ensuring accuracy, proper tracking, timely processing, and inventory control for parts and supplies.
  • Update work orders, coordinating closely with mechanics and fleet coordination.
  • Assist fleet coordinator with administrative support to the mechanics, including preparing, organizing, and distributing required paperwork.
  • Ensure crane field crews receive all necessary paperwork, including work orders, service documentation, and related forms, in a timely and accurate manner.
  • Assist in maintaining proper regulatory procedures, including Hazmat, fire, grounds, and related requirements.
  • Act as a communication link between dispatch, mechanics, and field crews to help keep daily operations running smoothly across both branches.
