About The Position

Under direct supervision, the Dispatcher/Administrative Assistant performs a variety of dispatching and clerical and secretarial duties in support of the Campus Police Department. The position provides assistance to students as needed, maintains the filing system for the Police Department, types various documents and answers the telephone. Work hours are 10:00 a.m. to 7:00 p.m.

Requirements

  • Associate’s Degree in Business Administration, Secretarial Science or related field
  • One (1) to two (2) years of secretarial experience OR any equivalent combination of training and/or experience that provides the required knowledge, skills, and abilities may be considered
  • Must obtain Division Criminal Information (DCI) operator certification after hire within a timeframe established by the supervisor.

Responsibilities

  • Manage physical and electronic security systems, including the Genetec Unified Security Platform for access control and video surveillance
  • Answers multi-line telephone for the Public Safety Department and Campus Police office.
  • Dispatches police officers to on-campus emergencies.
  • Reviews, edits, types, and files incident and accident reports received from officers; processes traffic citations.
  • Receives inquiries and complaints from visitors and by phone concerning the Campus Police and Public Safety Departments.
  • Provides assistance to students concerning parking decals; photo ID cards; temporary parking passes.
  • Enters a variety of data into the computer system concerning parking decals; type’s letters, correspondence, memos, and other documents as requested; makes copies and distributes documents as requested.
  • Maintains supply of office forms; maintain office supplies and orders them as needed.
  • Confers with staff, faculty, students, general public, Sheriff’s office, and 911; conducts inquiries with Sheriff’s Department to identify vehicle owners for purpose of identifying owners of citations.
  • Maintains lost and found items; produces and maintains found property log.
  • Produces and maintains return check log; produces requisitions as requested; produces posters, signs and flyers as needed.
  • Enters criminal data into computer maintained by North Carolina Criminal Information Center.
  • Maintains files and records of written communications; retrieves data from computer; send faxes; maintains office equipment; organizes, cleans, and maintains office area.
  • Informs officers and administration of emergency weather alerts.
  • Receives and/or reviews various records and reports including inquiries, issues, records, reports, correspondence, memos, etc.
  • Prepares and/or processes various records and reports including reports, records, correspondence, etc.
  • Refers to policy and procedure manuals, computer manuals, codes / laws / regulations, publications and reference texts, etc.
  • Operates a variety of office equipment such as computer, printer, telephone, calculator, etc.
  • Uses general office supplies.
  • Interacts and communicates with various groups and individuals including immediate supervisor, co-workers, staff, and the general public.
  • Assists in maintaining the campus key system including programming electronic locks and keys
  • Picks up mail, supplies, and paid citations.
  • Prints and distributes weekend class schedule for officers on weekend duty.
  • Performs other duties as required.
