About The Position

Mamba Logistics is seeking an organized, responsive, and detail-oriented Dispatch Coordinator to support the daily coordination of shipments, drivers, carriers, pickups, and deliveries. This role will help keep transportation activities running smoothly by monitoring schedules, communicating with drivers and customers, updating shipment information, and responding to routine operational issues. The ideal candidate is comfortable working in a fast-paced logistics environment, managing changing priorities, and maintaining clear communication between drivers, customers, carriers, warehouses, and internal operations teams.

Requirements

High school diploma or equivalent.
1–3 years of experience in dispatch, logistics, transportation, scheduling, customer service, or operations.
Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
Ability to remain calm and professional in time-sensitive situations.
Strong attention to detail.
Proficiency with email, spreadsheets, and standard computer systems.
Ability to manage changing schedules and competing priorities.
Strong follow-up and problem-solving skills.

Nice To Haves

Associate's or Bachelor's degree in Logistics, Supply Chain Management, Business Administration, or a related field.
Previous experience with trucking, freight, brokerage, distribution, or third-party logistics.
Familiarity with transportation-management systems (TMS).
Experience with dispatch software, GPS tracking, or fleet-management platforms.
Knowledge of basic transportation terminology.
Experience coordinating drivers, carriers, warehouses, or delivery appointments.

Responsibilities

Coordinate daily pickup and delivery schedules.
Assign and communicate shipment details to drivers and transportation partners.
Monitor active shipments and maintain accurate dispatch records.
Track driver availability, appointment times, and route changes.
Communicate schedule updates and changes promptly.
Assist with coordinating last-minute transportation needs.
Serve as an administrative communication point for drivers and carriers.
Provide pickup addresses, delivery information, appointment details, and other approved instructions.
Confirm driver arrival, pickup, and delivery status.
Communicate changes in schedules, locations, or customer requirements.
Maintain professional communication with transportation partners.
Document important driver and carrier communications.
Monitor shipments throughout the transportation process.
Update shipment statuses in the transportation-management system or company database.
Follow up on delayed, missed, or incomplete pickups and deliveries.
Communicate estimated arrival updates to customers and internal personnel.
Track proof-of-delivery and other required documentation.
Respond to routine customer questions regarding shipment schedules and status.
Notify customers of approved delays or schedule changes.
Confirm pickup and delivery appointments.
Document customer requests and follow-up requirements.
Escalate service complaints or complex operational issues to management.
Assist with coordinating efficient pickup and delivery schedules.
Review appointment times and identify potential scheduling conflicts.
Help coordinate route changes when operational circumstances require adjustments.
Assist with prioritizing time-sensitive shipments according to company procedures.
Communicate route or schedule updates to affected drivers and customers.
Collect and organize bills of lading, delivery confirmations, driver paperwork, and other transportation documents.
Verify required documentation is received.
Track missing or incomplete paperwork.
Enter shipment and delivery information accurately.
Maintain organized dispatch records.
Monitor shipments for delays, missed appointments, breakdowns, traffic issues, or other service exceptions.
Contact appropriate drivers, carriers, customers, or internal personnel to gather updated information.
Assist with coordinating alternative arrangements when authorized.
Maintain documentation of operational issues and resolutions.
Escalate safety-related, contractual, or major service issues to the appropriate manager.
Maintain dispatch calendars, spreadsheets, and transportation records.
Prepare daily or weekly dispatch reports.
Assist with tracking driver activity, shipment volume, and service issues.
Coordinate with accounting regarding completed deliveries and supporting documentation.
Support logistics managers with operational projects and administrative tasks.
Help improve dispatch procedures and communication workflows.
