Requirements

  • Proficiency in computer applications, including Microsoft Office

Nice To Haves

  • Bachelor’s degree or international equivalent
  • Experience with CargoWise is an asset
  • Experience with WorldShip is an asset
  • Knowledge of Warehouse Management Systems (WMS) is an asset

Responsibilities

  • Monitors the buzzer and grant access to trailers and vans entering the yard. All carriers vehicles that have business at UPS are allowed entry in timely manner and are directed to appropriate dock doors.
  • Know which dock doors correspond to what account / client / team, based on information provided by driver.
  • Proactively monitor yard traffic and activity to ensure safety and security, and performs safety and security checks and inspections for trucks and dock doors systems
  • Manage trailers stored in the yard. Perform trailer inspections, locking / unlocking and other tasks as needed.
  • Record all appointments scheduled by the client or carriers in the Dispatch Log by the Receiving Team or Team Leads.
  • Communicate promptly to the Disapatcher all scheduled appointments.
  • Support in scheduling and booking appointments.
  • Record all appointments scheduled by Team Leads or Admins in the Dispatch Log by the responsible Team Lead or Admin.
  • Ensure BOL for scheduled pickups to be left in the Dispatch Office.
  • Support pickups scheduling.
  • Support orders routing.
  • Add any unplanned deliveries or pickups to Dispatch Log in timely manner.
  • Coordinate with Operations Teams.
  • Be aware of all scheduled pickup appointments for the day and must direct carriers to the appropriate dock upon arrival.
  • Enforce strict Health & Safety protocols at dock doors. Staff may only access the truck once it is locked, immobilized, and the driver is in the dispatch office. Conversely, the driver must not be released until all staff access to the truck is blocked.
  • Check with all operations teams to confirm if they have loads scheduled with that carrier upon any carrier’s arrival.
  • Coordinate with relevant teams proactively if an additional switch is needed in advance.
  • Communicate daily with accountants regarding small package requirements and coordinates with carriers to request and schedule additional pickups as needed, based on forecasted capacity.
  • Support cross dock operation for some accounts, including sorting shipments on a containers, organizing shipments for carriers and pickups and creating shipping labels for small parcel shipments.
  • Assist with trailer loading and offloading.
  • Transfer pallets from Account Zones to Staging Zones and preparing them for loading before the carrier arrives.
  • Know what delivery appointments are booked for the day and direct the carriers to appropriate docks whenever they may arrive.
  • Ensure that both the carrier driver and the Receiving Team have successfully connected and acknowledged each other before moving on to the next task.
  • Load / unload all parcel shipments including but not limited to UPS, FedEx, Purolator, DHL, Canada Post.
  • Securely store the parcels and notify the appropriate teams and/or individuals to collect their items.
  • Ensure Dispatch Log is always current and ensures information completeness and accuracy.
  • Double-check all appointments and dock assignments to avoid conflicts and bottlenecks.
  • Maintain open communication with all team leads / designated personnel from each team and shift to stay aware of any last-minute changes.
  • Support management by providing inputs for capacity planning and performance monitoring.
  • Ensure dispatch operation meets and exceeds quality, productivity and KPIs benchmarks set.
