About The Position

The Director of Operations (DOO) serves as a senior administrative leader and a key member of the Parish Family 45 leadership structure, providing strategic and operational support to the Pastor. In partnership with the Director of Pastoral Ministries, the DOO supports the effective functioning of the parish family so that pastoral leadership and ministry efforts are well resourced and supported. The Director of Operations is responsible for the professional management and stewardship of the parish family’s temporal resources, including financial, human, technological, and physical assets, in accordance with Archdiocesan policies and guidelines. Acting under delegated authority from the Pastor, the DOO oversees day‑to‑day operations within approved policies, budgets, and priorities, ensuring sound internal controls, accountability, and timely execution of operational responsibilities. The DOO provides leadership and coordination across finance, facilities, human resources, information technology, and administrative operations for three parishes and two schools. In collaboration with parish and school leadership, this role supports the development of consistent systems and practices that promote efficiency, compliance, and prudent stewardship as the parish family moves toward greater operational unity. Within the context of Partners in the Gospel, the Director of Operations supports organizational integration and change management efforts related to shared operations. The role emphasizes clarity, consistency, and collaboration, helping reduce administrative complexity so clergy, staff, and volunteers can focus more fully on ministry. The Director of Operations works closely with the Pastor, the Parish Family Leadership Team, the Parish Family Advisory Council, school principals, and Archdiocesan partners to support responsible decision‑making, guide operational transitions, and sustain a stable operational foundation for the parish family.

Requirements

  • Practicing Roman Catholic in good standing, with a demonstrated commitment to the mission and teachings of the Church
  • Bachelor’s degree in business administration, finance, accounting, operations, or related field, or equivalent professional experience; advanced degree preferred
  • Minimum of seven (7) years of progressively responsible leadership experience in operations, finance, or organizational management
  • Ability to meet all Archdiocesan requirements, including Safe Environment compliance and background screening
  • Valid Washington State driver’s license and ability to travel locally

Nice To Haves

  • Proven experience as a Director of Operations, Pastoral Administrator, Business Manager, or comparable senior leader
  • Experience leading multi‑site organizations, mergers, or significant integration initiatives
  • Strong working knowledge of parish and school operations, including pastoral sensitivity to parishioners, volunteers, and staff
  • Demonstrated success in systems development, process improvement, and change management
  • Investigative and analytical mindset with ability to identify bottlenecks and improve operational efficiency
  • Experience managing complex projects from inception through completion across multiple functional areas

Responsibilities

  • Provides leadership for unified operations across Parish Family 45 with an emphasis on sustainability, systems alignment, and change management.
  • Serve as a strategic advisor to the Pastor on operational, financial, and organizational matters.
  • Lead the integration of systems, processes, and workflows across three parishes and two schools.
  • Support development and implementation of the Parish Family One Parish Strategic Plan from an operational perspective.
  • Lead change-management initiatives that support staff adoption of shared structures and practices.
  • Identify inefficiencies, risks, and operational gaps; design and implement sustainable solutions.
  • Provides executive oversight of financial systems and ensures responsible stewardship of parish and school resources, accuracy & transparency to parishioners and school families.
  • Provide strategic oversight of operating and capital budgets in collaboration with the Accounting & Finance Director.
  • Ensure accurate, timely, and transparent financial reporting, including monthly reports and annual statements.
  • Establish, maintain, and regularly test strong internal controls and financial best practices.
  • Oversee relationships with financial institutions, auditors, and key vendors.
  • Provide strategic oversight and support for stewardship initiatives, fundraising efforts, and offertory processes.
  • Provides leadership for human resource systems and staff operations across the parish family.
  • Oversee recruitment, onboarding, supervision, and performance management frameworks in collaboration with supervisors and Archdiocesan Human Resources.
  • Ensure compliance with Archdiocesan HR policies, employment law, and best practices.
  • Advise the Pastor on personnel matters, staffing models, and organizational structure.
  • Support supervisors and principals in addressing employee relations and performance concerns.
  • Promote a healthy, accountable, and mission‑centered staff culture.
  • Provides high-level oversight of parish and school facilities, physical assets, and capital planning.
  • Oversee maintenance, safety, security, repairs, and capital projects across all parish family properties.
  • Develop and implement preventive maintenance plans and long‑term capital strategies.
  • Coordinate contractors, vendors, and professional services.
  • Maintain accurate asset inventories and facilities documentation.
  • Ensure compliance with safety standards, insurance requirements, and Archdiocesan risk management policies.
  • Provides strategic direction and oversight for parish and school technology systems.
  • Oversee IT infrastructure including networks, hardware, software, telephony, and data systems.
  • Establish and implement a unified IT governance model, including tenant consolidation, platform standardization, and clear decision‑making authority for technology initiatives.
  • Serve as liaison to IT vendors and Archdiocesan technology partners.
  • Lead assessment and implementation of shared technology platforms.
  • Ensure data security, access controls, and continuity of operations.
  • Support staff adoption and effective use of technology systems.
  • Ensures operational oversight of communications platforms and parish records.
  • Oversee operational aspects of parish communications systems, databases, and workflows.
  • Ensure consistent platforms that support parish‑wide messaging and campaigns.
  • Maintain parish census, financial, operational, and sacramental records.
  • Ensure proper safeguarding, retention, and archiving of records in compliance with Archdiocesan requirements.
  • Supports effective governance and cross‑functional collaboration.
  • Serve as staff resource to the Parish Family Advisory Council and finance consultative bodies.
  • Participate as a core member of the Parish Family Leadership Team.
  • Collaborate with school principals on finance, HR, and operational matters.
  • Serve as liaison with Archdiocesan offices and regional partners.
