About The Position

Reformation is seeking a Director of Facilities to lead their Facilities team, supporting corporate facilities in Los Angeles, NYC, and London, as well as retail stores globally. This role is crucial for maintaining smooth operations, promoting office culture, and ensuring facilities are safe, clean, and efficient. The Director will oversee all facilities-related projects and processes, from long-term planning to daily operations, including security, office services, vendor management, and maintenance. This position requires strong project management skills to ensure projects are completed on time and within budget, contributing to more efficient and sustainable business operations. Requirements

  • Bachelor’s degree
  • 10+ years of experience in facilities and/or office administration
  • Experience in retail, e-commerce, or manufacturing preferred
  • Ability to work Monday-Friday, 8:30 AM - 5 PM, and be available for emergencies including evenings, weekends, and holidays
  • Hands-on, “can-do” attitude
  • Experience in a start-up environment or strong desire to work in a high-growth environment
  • Strong organization skills and ability to manage time to meet deadlines in a fast-paced environment
  • Ability to connect with people easily and shift quickly between unrelated tasks

Responsibilities

  • Contribute to long-range Facilities planning, including capacity tracking, forecasting, and team needs assessments.
  • Review and analyze operational procedures to maximize space utilization, equipment use, and waste reduction.
  • Assess business services, contractors, and supply vendors for sustainability, quality, and cost balance.
  • Support the creation and maintenance of safety, security, and business continuity planning.
  • Manage occupancy and CAPEX budgets for corporate and retail Facilities, including annual planning, monthly reconciliation, and re-forecasting.
  • Drive automation for efficient scaling and upskilling of the Facilities function.
  • Recruit, retain, and motivate a high-performing, service-oriented Facilities team.
  • Provide monthly performance reporting for executive visibility.
  • Manage day-to-day facilities operations, ensuring organization, cleanliness, and efficiency.
  • Oversee facilities maintenance, including preventive services, custodial services, and repair of building systems, machinery, parking, and security.
  • Manage the third-party facilities management system (ServiceChannel) for retail store work requests.
  • Manage Facilities Coordinators/Front Desk team and provide coverage as needed.
  • Project manage corporate build-outs or facilities improvement projects.
  • Support the onboarding process and logistics for new hires, including desk layout and meeting space adjustments.
  • Provide support and coordination for office events.
  • Manage internal communications regarding operational changes and events.
  • Ensure appropriate setup of site utilities and audit utility analysis for efficiency.
  • Prepare department reporting and budget reconciliations.
  • Support monthly corporate & retail OpEx reviews and identify cost optimization opportunities.
  • Support new store openings for turnover from Retail Development/GC to Retail Ops.
