About The Position

The Director of Facilities Management role is an integral part of the Real Estate and Facilities team, ensuring the efficient operation, maintenance, and repair of all facilities, including schools, administrative buildings, and other related facilities. The Director of Facilities Management at KIPP DC is responsible for overseeing the planning, coordination, and execution of all facilities maintenance activities across KIPP DC’s real estate portfolio consisting of 20 schools and nearly 1 million square feet of space with a value of $450 million. The Director of Facilities Management provides leadership to a team of outsourced maintenance staff and the Manager of Facilities, and works closely with school leaders, staff, and external vendors to maintain a safe, clean, and functional learning environment for students and staff. As a Director, this position must also ensure adherence to established internal control policies and procedures and maintain compliance within the organization.

Requirements

  • Bachelor’s degree
  • A minimum of 7 years of experience in facilities maintenance or operations, preferably in an educational setting
  • Strong knowledge of building systems, including HVAC, electrical, plumbing, and structural components
  • Demonstrated experience in managing maintenance staff, including hiring, training, and performance evaluation
  • Ability to travel across KIPP DC schools regularly
  • Ability to work outside normal business hours as facilities emergencies and projects arise

Responsibilities

  • Develop Facilities Maintenance Strategy (25% of time)
  • Collaborate with school leaders and staff to understand their facilities-related needs and provide prompt and effective solutions
  • Ensure compliance with all relevant local, state, and federal regulations related to facilities maintenance, safety, and environmental standards
  • Stay up-to-date on industry best practices and emerging trends in facilities maintenance, and recommend improvements and innovations to enhance the efficiency and effectiveness of maintenance operations
  • Support and make recommendations regarding maintaining, standardizing and integrating building systems
  • Day-to-Day Facilities Maintenance & Project Management (40% of time)
  • Implement a comprehensive facilities maintenance program, including preventive maintenance, repairs, and upgrades, to ensure the optimal functioning of all KIPP DC facilities
  • Plan and schedule maintenance activities, ensuring minimal disruption to instructional activities and events
  • Coordinate and prioritize work orders, ensuring timely completion and addressing urgent issues promptly
  • Conduct regular inspections of facilities to identify maintenance needs, safety hazards, and code violations, and take appropriate corrective actions
  • Serve as the primary liaison between facilities and campus teams (operations and academic) and lead proactive communications with stakeholders related to facilities maintenance work
  • Be available to respond to emergency calls after hours and on weekends as needed
  • Team Leadership & Oversight (20% of time)
  • Directly manage the Managers of Facilities on the Real Estate and Facilities team
  • Oversee the broader team of external facilities vendors, including but not limited to the contracted facilities management vendor, to ensure timely and high-quality execution of day-to-day support activities as well as long-term initiatives as appropriate
  • Establish and maintain effective working relationships with external vendors, contractors, and suppliers to obtain services, materials, and equipment necessary for maintenance activities
  • Determine and implement optimal staffing for contracted facilities management vendor and hold them accountable for standards of service
  • Budget Development & Management (15% of time)
  • Develop and manage the facilities $5M+ maintenance budget (R&M, OCS, etc.), ensuring cost-effective use of resources and adherence to budgetary constraints in coordination with Real Estate and Facilities team leadership
  • Prepare and present regular reports to executive leadership and KIPP DC board members regarding maintenance activities, budgetary status, and future maintenance needs
  • Support development and management of Capital Improvement Plan
