About The Position

Under the direction of the Senior VP of Mission Advancement, and in harmony with the mission, vision, and values of the YMCA of the Virginia Peninsulas, the Director of Annual Impact and Stewardship provides strategic leadership for the Annual Impact Fund and donor stewardship across the organization’s footprint. This role is responsible for developing and executing plans to exceed fundraising goals, cultivating relationships with individuals, corporations, and foundations, and ensuring world-class service to members, guests, and donors through multiple communication channels. In addition, this role is responsible for the performance, integrity, and security of the YMCA of the Virginia Peninsula’s donor database. This position is an essential development department team member utilizing fundraising database system’s capabilities and accompanying donor data to enhance the fundraising success and donor relationship abilities of the Y.

Requirements

  • High School Diploma or equivalent required.
  • College degree preferred.
  • Y-USA Multi-Team Leader Certification (or equivalent) required within two years and must begin working towards certification within 6 months.
  • Strong administrative skills, with computer proficiency in Microsoft Office and the aptitude to learn new software.
  • Ability to handle sensitive situations and maintain confidentiality.
  • Advanced understanding of the nature of the YMCA as a mission-driven organization.
  • Excellent written and verbal communication skills.
  • Must be focused and detail oriented.
  • Must be organized and able to juggle multiple tasks and prioritize efficiently.
  • Must be able to work independently, be results-oriented, able to establish and meet time schedules, and show flexibility when unexpected changes occur.

  • Certification in CPR/First Aid/AED/O2 required within 60 days of hire.
  • Complete and maintain required trainings to include: New Staff Orientation (NSO), Bloodborne Pathogens, Child Abuse Prevention (CAP), and Sexual Harassment.
  • Satisfactory completion of a criminal background check and Child Protective Services check.
  • Exceptional experience in donor management systems software, to include but not limited to Smartsheets, Daxko, GoFundMe Pro, SGA, and Silent Auction Pro.
  • Ability to read, analyze, and interpret documents.
  • Ability to respond effectively to inquiries.
  • Ability to apply mathematical concepts to practical situations.
  • Must be able to apply mathematical operations to tasks such as creating and maintaining spreadsheets.
  • Ability to reason and define difficult problems with limited direction as to means and result.
  • Ability to meet the physical demands of this position, which includes mobility for travel to conferences, touring facilities, properties and participating in promotional and special events sponsored by the Association.

Responsibilities

  • Support and promote the mission, vision, and values of the YMCA.
  • Lead and manage the Annual Impact Fund, including budget oversight, forecasting, and execution of campaign timelines.
  • Execute the timeline and vision for the annual impact campaign to all.
  • Work with the Senior VP of Mission Advancement to develop and lead trainings for all levels of annual impact leaders.
  • Develop and maintain collaborative relationships with community agencies.
  • Build processes for identification, cultivation, and solicitation of key prospects to expand the base of major gift donors.
  • Lead the execution of stewardship plans to ensure donors are acknowledged and engaged.
  • Work with Senior VP of Mission Advancement to secure sponsors for signature programs and corporate sponsorships at the Association level.
  • Prepare, manage, and communicate financial development tracking systems and donor data.
  • Coach Center Executives and campaign leaders to exceed fundraising goals.
  • Coordinate donor events, fundraisers, cultivation activities, and engagement opportunities.
  • Maintain and safeguard the integrity and security of donor information in the database.
  • Generate reports for Annual Impact Fund, board, and dashboard updates.
  • Supervise the processing of donations, categorization and recording of all financial transactions.
  • Provide data support for surveys, grants, major gifts, endowment, and capital asks.
  • Build and maintain positive relationships with existing volunteers, donors, sponsors, and supporters, ensuring their continued confidence and engagement with the YMCA through support of volunteer and donor cultivation plans.
  • Utilize Daxko to maintain accurate and up-to-date donor records, track interactions, and generate comprehensive reports for analysis with a high level of detail.
  • Collaborate with accounting department personnel to reconcile accounts and create timely development reports.
  • Generate Annual Impact Fund reports, board reports, and update Association dashboard weekly.
  • Provide Endowment and Capital campaign reports as directed.
  • Supervise the processing of donations (Annual Impact Fund, Endowment, Capital), ensuring proper categorization, and accurate recording of all financial transactions in the donor database.
  • Ensure the generation of timely invoices to donors based on monthly, quarterly, and annual pledges.
  • Support the implementation of the stewardship plans to ensure donors feel valued and appreciated for their contributions. This includes ensuring the generation of timely gift acknowledgement receipts and year-end tax letters for donors.
  • Provide the Center Executives weekly donor list for personalized thank-you notes.
  • Assist in the administration and execution of fundraising campaigns, events, and initiatives aimed at achieving annual fundraising goals.
  • Coordinate association-level donor events, fundraisers, cultivation activities, trainings, and other engagement opportunities.
  • Provide data support to the development team in completing surveys, United Way, Grants, Major Gifts , Endowment and Capital Asks.
  • Perform other related duties as assigned.
  • Act as a leader in emergency situations.
  • Report any accidents or incidents according to Emergency Communication Action Plan, in a timely manner.
  • Ensure all members, guests, and program participants are in a safe environment and actively follow center Emergency Operations Plan (EOP).
  • Shared supervision of administrative support staff.
  • Works cooperatively, guiding and leading Center Executives, Campaign Staff and volunteers.
  • Ensures Center Executives are executing Association initiatives.
  • Represents the YMCA with key community organizations and events as required.
  • Carries out supervisory responsibilities in accordance with the association’s policies and applicable laws.
