About The Position

The Director, Event Programming & Operations owns event programming within One Times Square. This position determines what happens in the building's spaces, when, and how, and owns and manages all activity within those spaces, the master calendar, and communications to all working groups. The sales teams across multiple channels support this position by sourcing, selling, and closing the events and activations that fit the programming strategy, and the Director sets sales goals and KPIs with Sales leadership and holds those teams accountable for meeting them. The Director also owns the P&L for all events. Secondary to programming, the Director owns the execution of all events, from handoff after contract through load-in, event day, load-out, and post-event close-out. The Director also builds the processes, SOPs, and client-facing resources that explain how the space can be activated, and serves as the connective tissue between Sales, Guest Experience, Property Management, and Marketing, ensuring every event is delivered safely, on brand, and in a way that protects the building and its tenants. This is a 5 day in office, on-site role at our One Times Square location.

Requirements

  • 7+ years of experience in event programming, event operations, venue management, hospitality, or commercial real estate event programming, with at least 3 years in a supervisory or leadership role.
  • Demonstrated experience setting programming strategy and managing a master calendar across multiple spaces and working groups.
  • Experience owning and managing event or departmental P&Ls and budgets, including forecasting, cost control, and variance reporting.
  • Experience working in a handoff-based model alongside dedicated sales teams, including setting, tracking, and reporting on sales goals and KPIs.
  • Demonstrated experience building or scaling event processes, SOPs, and operational documentation.
  • Working knowledge of COI requirements, insurance terminology, and risk mitigation.
  • Strong understanding of load-in and load-out logistics, vendor management, and building operations.
  • Excellent client-facing communication and presentation skills, including comfort supporting sales conversations with prospective clients.
  • Strong written communication skills, with the ability to produce clear, polished materials and working group communications.
  • Strong financial acumen, with the ability to analyze P&Ls and make decisions that balance profitability, guest experience, and brand.
  • Ability to hold cross-functional and sales teams accountable to goals through clear expectations, reporting, and diplomacy.
  • Ability to manage multiple events and competing priorities simultaneously in a fast-paced environment.
  • Proficiency with event management and calendar software (e.g., Tripleseat, Cvent, Momentus, or similar), CRM tools, and Microsoft Office.
  • Bachelor's degree in hospitality, business, event management, or a related field.
  • Flexible schedule required, including evenings, weekends, and holidays based on the event calendar.

Nice To Haves

  • Experience launching or growing an event program or venue.
  • Experience in a multi-tenant commercial building, mixed-use property, or amenity space.
  • CMP or similar certification; familiarity with fire/life-safety codes, occupancy limits, and permitting requirements.

Responsibilities

  • Own event programming for all spaces within the building, setting the annual and seasonal programming strategy and determining the mix, cadence, and placement of events and activations that best use each space.
  • Own and manage all activity within the building's spaces, determining what is scheduled, when, and where, in alignment with building priorities, tenant needs, and brand.
  • Evaluate proposed events and activations for programming fit, feasibility, and profitability before they are confirmed, and recommend adjustments to dates, spaces, or scope.
  • Identify open dates, target event types, and priority spaces, and share the programming plan with the Elevate, Backal, and Sponsorships sales teams so their efforts fill the calendar strategically.
  • Monitor space utilization and programming performance, and adjust the strategy to improve use of the building over time.
  • Own the master calendar for all spaces as the single source of truth, including holds, confirmed events, blackout dates, and building activity, in coordination with the sales teams that manage availability during the sales process.
  • Prevent conflicts with building maintenance, tenant needs, construction, and other property activity.
  • Own communications to all working groups, including Sales, Guest Experience, Property Management, Marketing, security, and engineering, through regular calendar updates, weekly event activity summaries, and event briefs.
  • Lead recurring working group meetings and maintain a forward-looking view of upcoming events for internal stakeholders and leadership.
  • Partner with the sales teams across Elevate, Backal, and Sponsorships, who support this position by sourcing, selling, and contracting events that align with the programming plan.
  • Set sales goals and KPIs for the Elevate, Backal, and Sponsorships teams in partnership with Sales leadership and the Chief Operating Officer, aligned to the programming plan and event P&L targets, including bookings and revenue by space and period, pipeline, conversion, average event value, and quality of handoffs.
  • Hold the sales teams accountable for meeting their goals and KPIs through a regular review cadence with Sales leadership, and adjust goals as the programming plan and market conditions change.
  • Report on Sales performance against goals and KPIs to the Chief Operating Officer, and escalate variances, risks, and corrective actions to Sales leadership.
  • Accompany the sales teams on tours with prospective clients as the operational expert, speaking to capacity, logistics, building rules, vendor requirements, and insurance, and using space activation guides and sample layouts to show how the space can be used.
  • Receive executed contracts and event files from Sales and conduct a formal handoff meeting for each event, confirming that all commitments, pricing, inclusions, and special requests are documented and operationally achievable.
  • Own the execution of all events in the building, serving as the client's primary operational contact from contract execution through event close-out.
  • Establish a communication cadence and planning timeline with each client, lead post-contract site visits and technical walk-throughs, and confirm final event details, run-of-show, and floor plans.
  • Develop and enforce load-in and load-out schedules, dock assignments, and freight elevator usage, coordinating vendor arrivals and departures to minimize disruption to tenants and building operations.
  • Oversee on-site compliance with building rules, safety protocols, and union or labor requirements where applicable, and conduct pre-event and post-event walk-throughs to document room condition and any damage.
  • Own the P&L for all events and event programming in the building, including revenue, direct costs, and margin.
  • Develop the annual event revenue and expense budget and forecasts in partnership with Finance and the Chief Operating Officer, and use profitability as a core input to programming decisions.
  • Manage event-related budgets, billing, and reconciliation of charges such as labor, security, and utilities, ensuring costs are accurately captured and recovered.
  • Review the P&L for each event after close-out, report variances to the Chief Operating Officer, and recommend pricing, packaging, scope, and cost recovery adjustments to Sales and leadership.
  • Manage collection, review, and approval of COIs for clients, vendors, and contractors, verifying coverage types, limits, additional insured language, and policy dates against building requirements.
  • Maintain a centralized COI tracking system and resolve deficiencies before event dates.
  • Collaborate with Sales, Property Management, and Legal/Risk to resolve insurance issues and escalate exceptions; support incident reporting and claims documentation as needed.
  • Own and develop the event programming and operations process as the business grows, identifying gaps, bottlenecks, and risks before they affect clients, and evaluating technology and tools as needs expand.
  • Build and maintain a library of SOPs covering the full event lifecycle, including handoff, onboarding, COI management, load-in and load-out, event-day execution, emergency response, and post-event close-out.
  • Create client-facing documentation that helps prospective and booked clients understand how the space can be activated, such as space guides with capacities and layout options, sample floor plans, technical specifications (power, AV, lighting, rigging, Wi-Fi), load-in guidelines, building policies, preferred vendor lists, planning timelines, and FAQs.
  • Partner with Sales to ensure documentation supports the sales process and with Marketing to keep materials on brand; train Sales, Guest Experience, and Property Management on SOPs and client resources.
  • Lead post-event debriefs and incorporate lessons learned into updated procedures.
  • Supervise event operations staff, coordinators, and on-site support teams; set expectations, coach, and hire, onboard, and train additional team members as the program scales.
  • Coordinate guest-facing service, signage, security, concierge, and arrival experience.
  • Coordinate engineering, janitorial, security, access control, and building systems support.
  • Support promotional efforts, photography and content capture, event listings, and brand consistency.
