About The Position

Reporting to the Director and President, Academy Museum of Motion Pictures and Academy Collection, this position serves as a strategist and advisor within the Executive Office, ensuring coordination of executive priorities, Board governance, and organizational initiatives. This role serves as the primary liaison to the Academy Museum Board of Trustees, overseeing board relations and governance processes; guiding projects and priorities as directed by the Director and President across the organization; and leading the effective operations of the executive office.

Requirements

Bachelor’s degree or equivalent work experience
6+ years of experience working in an executive-level office, preferably for a non-profit
Strong understanding of the structure and operation of a non-profit board
Ability to handle multiple priorities with a high level of maturity and professionalism and pivot as needed
Excellent project planning skills with the ability to establish goals, outcomes, timelines, and supporting plans to attain them
A collaborative mindset to work cross-functionally with multiple departments
Excellent written and verbal communication skills with the ability to independently handle written communication and respond quickly to numerous questions and concerns
Experience supporting a non-profit board and its committees, including board meetings, governance processes, communications, and records
Experience developing executive-level correspondence, board communications, presentations, and briefing materials on behalf of senior leadership
Sound judgment and discretion when handling confidential and sensitive matters involving board members, donors, senior leadership, and other key stakeholders
Ability to identify meeting participants, record meeting minutes, and interact professionally with board members, consultants, and staff
Ability to serve as a team player within the executive office

Responsibilities

Manage all aspects of the administrative functions of the Executive Office to ensure timely, accurate, and professional support for the Director and President. In collaboration with the Senior Coordinator, Executive Officer, this includes scheduling calls, meetings and tour logistics, travel arrangements, expense reports, and budget processes.
Manage all Board of Trustees activities and governance processes including board communication, meeting schedules including committee meetings and relevant prep meetings, and trustee engagement events in partnership with the Director and President and in coordination with trustees including board officers and committee chairs and staff.
Work with the office of the CEO of the Academy of Motion Picture Arts and Sciences on board presentations, meetings, and other activities relating to the Academy Foundation and the Academy Collection.
In partnership with relevant staff, ensure all materials and deliverables related to Board and committee meetings including presentation decks, agendas, meetings minutes, and talking points are well-prepared and delivered in a timely manner.
In consultation with and at the direction of the General Counsel, maintain bylaws, board manuals, committee charters, and ensure alignment with nonprofit governance best practices.
Work closely with Director and President, Governance and Nominations Committee, and Chief Revenue and Business Development Officer on Board recruitment and onboarding.
Maintain excellent relationships with trustees and their offices or support staff.
Implement and execute positive and effective communication strategies with staff, board members, and other key stakeholders.
Partner closely with Director and President to translate strategic priorities into action and coordinate across departments to advance priorities, resolve issues, and ensure alignment and accountability.
Keep Director and President, and key staff, abreast of significant matters within the boards and foster positive relationships on their behalf.
Communicate on behalf of the Director and President with board members, donors, and staff.
Partner with relevant teams to strategically prioritize and coordinate the Director and President's external engagements and digital presence, ensuring alignment with fundraising, donor cultivation, and trustee engagement goals.
Develop internal and Executive Office communications, including letters and other correspondence, executive presentations/decks and messaging guidance for the Director and President, tailoring content and concepts based on audience.
Track and organize reviews and deadlines for the Director and President.
Attend meetings as needed and manage follow-up accordingly.
Coordinate with and welcome visitors on behalf of the Executive Office.
Conduct research on various Executive Office initiatives or projects, as requested.
Serve as a liaison to the Executive Office, establishing and maintaining relationships while ensuring confidentiality of sensitive and proprietary information.
Develop and maintain Executive Office files, CRM, and workflow databases for efficient management and sharing of information.
Provide support to the Director and President of the Academy Museum at events.
Keep a flexible schedule that involves some early morning, evening, and weekend hours
Other duties and projects as assigned.
